About the role

Valley Bank is a leading relationship bank built for growth, with over $60 billion in assets, 3,800 experts, and more than 200 consumer branches and commercial banking offices across the US. As the Executive Assistant, you will provide high-level support to the General Counsel, overseeing the daily administrative operations of the Legal Department with the ability to exercise independent judgement in matters of significance.

Responsibilities

  • Manage, prioritize, and maintain a busy and dynamic calendar of internal and external meetings, events, and appointments, both in person and online for the General Counsel; anticipate and arrange travel as needed.
  • Maintain communication with the General Counsel to stay on top of changing priorities, ensuring preparation and organization for all meetings and events.
  • Proactively administer and monitor key Legal Department projects, some with cross-functional teams; update Legal team members on status and milestones as needed.
  • Prepare and edit correspondence, reports, spreadsheets, agendas, presentations, and other documents in appropriate formats.
  • Maintain and organize legal files and confidential records, handling sensitive information with the highest level of confidentiality and professionalism.
  • Assist paralegals with contract lifecycle management and other Legal Department systems, including tracking deadlines and renewals.
  • Support attorneys responsible for compliance and regulatory filings, including document preparation and submission logistics.
  • Coordinate with internal departments and external counsel as needed.
  • Serve as the Legal Department's administrative point of contact for internal and external stakeholders.
  • Prepare expense reports, process invoices, and monitor the budget for the legal team.
  • Align with other executive assistants on company procedures, administrative processes, and best practices.

Requirements

  • High School Diploma or GED; associate's degree in office management or related field preferred.
  • Minimum of 7 years of executive administrative experience in a corporate environment.

  • Ability to work fast and accurately under pressure while maintaining a professional disposition.
  • Impeccable organization and time management, with resilience to adapt and juggle multiple priorities effectively.
  • A proactive, resourceful, and solution-oriented mindset, anticipating needs and taking initiative.
  • High level of interpersonal skills and professionalism to interact with all levels of executives, both internally and externally, as well as Board members.
  • Strong project management skills.
  • Excellent communication and customer service skills (both verbal and written).
  • High proficiency in Microsoft Office Suite (including PowerPoint, Word, Excel, Outlook, and Teams); familiarity with document management systems.
  • Strong organizational skills, judgement, discretion, and a proactive approach.
  • High attention to detail and ability to manage multiple priorities independently.
  • Familiarity with legal terminology and processes is a plus.
