Key Responsibilities

  • Support Project Managers with the day-to-day coordination of assigned projects.
  • Maintain accurate project records in company tracking systems.
  • Track project milestones, schedules, and outstanding action items.
  • Aid with project setup, documentation, purchase orders, and closeout activities.
  • Cook up coordination with field technicians, subcontractors, vendors, customers, and internal departments.
  • Monitor project status and follow up on missing information or required updates.
  • Schedule meetings, site visits, and project-related activities as needed.
  • Ensure project files and documentation remain organized and current.
  • Prepare reports, spreadsheets, and project updates for leadership.
  • Assist with invoicing support, documentation requests, and project reconciliation.
  • Help identify potential scheduling or project issues and communicate them to the Project Manager.

Qualifications

  • A high school diploma or equivalent is required.
  • One to three years of project coordination, administrative, customer service, or operations experience are preferred.
  • Experience supporting multiple projects simultaneously is required.
  • Construction, facilities, banking, or service industry experience is a plus but not required.
