We are looking for an experienced Practice Manager to join our team.

Responsibilities

  • Administrate all human resource functions including staff recruitment, hiring, training, scheduling, performance evaluations, counseling, and terminations.

  • Manage annual performance evaluations.

  • Implement and maintain Employee Safety and Disaster Plan procedures and manuals.

  • Assure compliance with OSHA and Workers’ Compensation programs.

  • Distribute all necessary communication materials with staff, including policy changes, relevant information discussed at meetings, and client feedback.

  • Mediate personnel grievances, documenting all reprimands and counseling meetings.

  • Keep CVP management informed of all relevant issues regarding staff, client issues, premises or equipment needs, etc.

  • Respond to client concerns in a timely and appropriate manner. Resolve medical client complaints in partnership with the Lead Veterinarian and RDO.

  • Implement marketing activities in partnership with CVP and the Lead Veterinarian.

  • Assure premises, physical plant and equipment are in safe, clean, and optimum working condition, including the scheduling of regular maintenance.

  • Assure compliance with all regulatory issues including radiation monitoring, business permits and licenses, and animal control ordinances.

  • Maintain, and when necessary, amend client education handouts.

  • Schedule and attend all required meetings, including staff meetings and the hospital leadership team meeting.

  • Administer the hospital’s patient reminder system.

  • Oversee implementation of client wellness program and guidelines and monitor compliance in partnership with CVP.

  • Monitor the hospital email.

  • Manage the hospital practice management system.

  • Monitor the hospital’s financial progress, analyze results, and adjust, if necessary, to ensure all budget goals are achieved.

  • Partner with RDO to submit capital expense requests per CVP guidelines.

  • Verify accuracy of vendor statements and match appropriate invoices to statements.

  • Prepare the weekly CVP Business Package.

  • Oversee the bi-weekly payroll process.

  • Manage daily cash, check deposits, and manage local banking relationships.

  • In addition, the Practice Manager may work scheduled shifts during which he or she will be responsible for providing client service and/or direct patient care.

Requirements

  • 4+ years Hospital management experience, especially in Emergency/Specialty preferred.

  • College Preferred.

  • Certification in Veterinary Practice Management preferred.

Qualifications

  • Strong interpersonal skills and the ability to communicate effectively with clients and staff.

  • Excellent organizational and time management skills.

  • Ability to work independently and as part of a team.

  • Proficiency in Microsoft Office Suite.

  • Experience with hospital management software.
