Equipment Finance Doc Specialist
About the role
The Equipment Finance Documentation Specialist is responsible for all aspects of documenting, closing, and funding Equipment Finance transactions. This position interfaces with clients, relationship managers, portfolio managers, asset managers, and pricing managers to coordinate due diligence, documentation, perfection, closing, and funding—driving an excellent client experience. The role ensures all required documents are in place, coordinates "clear to close" decisions, and manages exceptions with their manager or mentor.
Accountable for risk management by following policies and procedures, elevating concerns, and ensuring actions drive a positive customer experience. The role operates within the Bank’s risk appetite while identifying, assessing, managing, monitoring, and reporting risks.
Responsibilities
- Manage the entire transaction documentation and closing process for Equipment Finance transactions.
- Collaborate with the deal team (clients, relationship managers, portfolio managers, asset managers, and pricing managers) to address policy, compliance, and regulatory matters early in the process.
- Prioritize and manage work queues for new lease/loan transactions.
- Proactively manage work-in-progress within the closing calendar, balancing the needs of multiple stakeholders.
- Ensure transactions are documented and closed per credit and asset management approval memos.
- Obtain and analyze required due diligence items, including:
- Know Your Customer requirements
- UCC searches
- Proof of insurance
- Entity corporate documents
- Assignment documents
- UCC-1/UCC-3 preparation
- Invoices/Proof of Payment
- MSO/Titles
- Confirm wire instructions from vendors or customers are accurate.
- Prepare documentation in compliance with transaction terms.
- Obtain necessary approvals (accounting, tax, pricing, legal) to protect Fifth Third Bank’s interests.
- Determine when legal counsel assistance is required for transaction issues or unresolved legal matters.
- Resolve underwriting, pricing, or equipment management approval conditions for funding; escalate disputes as needed.
- Prepare ACE Transaction and funding communication for proper disbursement via wire, deposit account, or check.
- Ensure proper filings and third-party subordinations/releases to perfect Fifth Third’s liens/ownership (including motor vehicle title work).
- Coordinate with departments to finalize interim draws.
- Understand lease/loan documentation to ensure proper boarding into the accounting system.
- Board lease/loan transactions into the accounting system.
- Follow up on outstanding items promptly.
- Meet departmental service standards and escalate issues as necessary.
- Participate in projects and suggest efficiency improvements.
Transaction Types Include, But Are Not Limited To: Loans (including outside counsel-prepared), Finance Leases, Tax Leases, Synthetic Leases, Interim Financing Products, Municipal Transactions (including outside counsel-prepared), Leverage Leases, Rail Financing, Syndicated Transactions.
Requirements
- 3–5 years’ experience with loan documentation, including due diligence and perfection processes.
- Bachelor’s degree in Business (e.g., Business Administration, Finance, Accounting) or equivalent work experience preferred.
- Proficient knowledge of loan structures and documentation requirements.
- Strong understanding of loan documentation, collateral, lien perfection, UCC searches, and vehicle titling processes.
- Working knowledge of bank accounting/boarding systems and bank policies/procedures.
- Proficiency in Microsoft Office products.
- Strong attention to detail and problem-solving skills.
- Ability to handle and prioritize multiple tasks independently with minimal direction.
- Solid decision-making and verbal/written communication skills.
- Team-oriented with the ability to interact comfortably with corporate customers and peers.
- Ability to meet deadlines under pressure.

Pay
Total base pay range: $61,200.00 – $125,500.00 USD annually. The base salary reflects the range for this pay grade across the U.S., with individual salaries determined by role, skillset, experience, education, and geographic location. This role is also eligible for incentive compensation based on company, line of business, and/or individual performance.
