About the role

The Entry Level Office Administrator role at MNJ is designed to oversee day-to-day office activities. This includes answering incoming calls, greeting visitors, maintaining office security, ordering supplies, delivering mail, cleaning the kitchen, processing payments, reconciling invoices, setting up new vendors, managing customer sales exemption certificates, assisting with projects, and supporting the marketing team.

Responsibilities

  • Answer incoming calls and transfer calls to appropriate department and/or individual.
  • Greet office visitors and notify the appropriate person.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Order office and kitchen supplies and keep inventory of stock.
  • Receive, sort and deliver incoming mail.
  • Process postage and send outgoing mail.
  • Clean and organize kitchen before leaving each day.
  • This includes wiping down counters/tables, turning off coffee machines, running dishwasher, turning off lights in kitchen, etc.
  • Mail out AP checks with appropriate documents on a daily basis.
  • Reconcile vendor invoices on a weekly basis, but no less than monthly basis.
  • Give reconciliation findings to appropriate manager.
  • Complete New Vendor Set-Up requests.
  • Aid in uploading, tracking, and maintaining Customer Sales Exemption Certificates.
  • Ensure all certificates are kept current.
  • Assist Accounting with projects as needed including Cash Application, Invoice processing, managing accounting boxes, etc.
  • Aid in different departmental projects on an as needed basis.
  • Support the marketing team with all internal events.

Requirements

  • A high school diploma or equivalent.
  • One year of office experience.
  • Comfortable and efficient using computer systems.
  • Proficiency in Microsoft Office Suite.
  • Strong attention to detail.
  • Pleasant demeanor when greeting guests and responding to inquiries.
  • Excellent verbal and written communication skills.
  • Ability to read, write, speak, and understand the English language.
  • Ability to deal tactfully with vendors, customers, employees, and the general public.

Pay

The hourly pay rate for this role is \$19.00 - \$24.00/hour. Candidates will be assessed and provided offers against the minimum qualifications of this role and their individual experience.
