Responsibilities
- Create, audit, and ship collateral files
- Execute, save, and upload bailee letters into the client system to confirm receipt of collateral files
- Ensure the safekeeping and secure storage of original documents
- Send collateral files to successor counsel, co-counsel, or to the client upon resolution of the foreclosure action
- Stack, scan, and image original collateral loan documents
- Upload scanned images into the system of record
- Create collateral packages verifying all necessary documents are present
- Audit collateral packages confirming signatures are present and loan-level data is accurate
- Update system of record with key information (e.g., dates, tracking numbers, notations)
- Perform other relevant duties as assigned by department leadership
Requirements
- Proficient computer skills, including Microsoft Office applications
- Excellent oral, verbal, and written communication skills
- Superior organizational and time management skills, attention to detail, and efficiency
- High school diploma or equivalent required; Associate’s or Bachelor’s Degree preferred
Physical Functions
- Must be able to physically file and retrieve collateral documents in the Firm Vault
- Some walking and standing required for processing and filing collateral documents
- Must be able to remain in a stationary position 80% of the time
- Ability to operate a computer, maintain attention to detail, and adapt to changing workflows
Work Environment
The role is based in the Firm Vault, a secure, badge-restricted workspace limited to department employees. The environment is an open, well-lighted, air-conditioned office with moderate noise levels and a team-oriented culture that encourages collaboration. This is a full-time, onsite position with standard business hours, operating in a high-volume setting with deadlines and compliance requirements.
