Responsibilities

  • Coordinates communication within the Emergency Department (ED) via processing records and paging staff as needed.
  • Collaborates with diagnostic departments to assure patients are transported and returned from testing in a timely manner.
  • Exhibits good customer service when communicating by phone and in person.
  • Provides registration service for patients admitted via ambulance.
  • Responds to trauma and other codes to quickly obtain patient information so orders can be implemented in a timely manner.
  • Prepares and implements John / Jane Doe and Trauma records.
  • Directs the flow of families, providers, and other staff in the ED / Fast Track areas to assure the staff and families are directed to the proper patient in an ever changing environment where patients may be moved repeatedly throughout a few hour stay.
  • Maintains order in the nurses’ station.
  • Assures records get to the correct provider, nurse, or other staff and are properly returned for the next user.
  • Copies records and reconciles all visits to assure proper charges have been submitted.
  • Prioritizes requests in a calm and professional behavior in a fast paced and stressful environment.
  • Answers and transfers phone calls and completes daily and monthly reports.
  • Greets and assists patients and clients.
  • Schedules appointments and consults.
  • Assembles admission paperwork.
  • Prepares and maintains patient charts; reverses and returns to medical records upon discharge.
  • Provides appropriate MAR’s for admitting, discharge, and transfers.
  • Assists with Code Blue orders.
  • Assists with grief support by requesting clergy and funeral home services.
  • Updates unit census board as requested by the charge nurse.
  • Provides routine support for ED / Fast Track through scheduling, reception, records maintenance, coordination with other hospital departments, and general assistance.
  • Captures patient information for billing to outside providers.
  • Orders charts, labs, and medical supplies and materials.
  • Performs clerical duties including mail delivery, faxing, copying, and scanning.
  • Produces and distributes department mailings.
  • Assembles reports and informational or paperwork packets.
  • Orders and restocks office and medical supplies.
  • Trains medical support staff.
  • May be asked to observe patients experiencing suicidal ideation, behavioral health issues, or other safety concerns to ensure safety and stability.
  • Records and reports all information within scope of knowledge.
  • Makes observations and reports to the charge nurse about the condition of patients.
  • Monitors the entire department for opportunities to improve safety and / or patient care.
  • Actively contributes to process improvement activities.

Qualifications

  • Non-supervisory – Two (2) years of administrative/clerical experience.
  • Supervisory – None
  • Current Basic Life Support (BLS) card required.
  • Completes Crisis Prevention Intervention (CPI) training and Suicide Observation training within sixty (60) days in position.
