Job Overview

The Elementary Registrar & Attendance role will perform a variety of fully proficient level clerical support tasks, including but not limited to: registration, enrollment, attendance, scheduling, grades/report cards and the withdrawal of students at all FBISD elementary campuses during peak enrollment/registration times. The position requires strong computer skills and often involves highly confidential materials. Work decisions are made in accordance with established and departmental policies. The incumbent must also demonstrate proficiency in coding of students regarding PEIMS/TSDS protocols. This position will ensure successful enrollment at all FBISD elementary school campuses.

Essential Duties and Responsibilities

  • Attendance Reporting & Preparation:
    • Process and maintain student attendance records (daily, each six weeks, and each academic grading period)
    • Generate and maintain attendance data (absence verification) as it relates to Average Daily Attendance (ADA)
    • Prepare campus for 1st and 4th six-weeks teacher verification and six-weeks data verification processes
    • Monitor percentage in attendance (ADA report) to ensure attendance is not less than previously reported ADA (for waiver purposes)
    • Maintain knowledge of Student Attendance Accounting Handbook (SAAH) for data proficiency
    • Enter or verify enrollment of special population students for PEIMS reporting
    • Verify and monitor teacher web absences daily
    • Enter notes received from parents on a daily/frequent basis
    • Follow the FBISD Attendance Manual's guidelines for daily, weekly, six-weeks, and semester attendance-taking protocols
  • Clerical Preparation:
    • Physically convert paper cumulative folder contents to electronic folders in SIS
    • Communicate with rollover students who had less than stellar attendance in the prior year
    • Data Entry & Software Access:
      • Monitor data inequities to ensure data quality using software approved by the District
      • Enter assigned At-Risk coding
      • Enter data into Skyward (SIS) as it pertains to PEIMS TSDS attendance, enrollment, grades, and other data
      • Receive training and receipt of On Data Suite and Elevate Data Quality software access to campuses to alleviate data inequities and reduce potential audits
    • Enrollment & Registration:
      • Register, enroll, withdraw and monitor students daily
      • Retrieve and send student records using TREx process to solidify enrollment of students
      • Monitor NSO (New Student Online), respond and schedule parents quickly and obtain necessary documents needed for enrollment
      • Provide entry and withdrawal comments and exit/withdrawal codes during enrollment and/or withdrawal process
      • Resolve demographic discrepancies between District software and the State of Texas database (Unique Identification-UID)
      • Verify permit codes and address missing parent email addresses or physical addresses in SISSchedule one-on-one parent conferences for enrollment, with full day appointments, even accommodating working parents with unusual work patterns via face-to-face or virtually (if needed).
      • Complete District Immunization records process for enrollment status and communicate with campus nurse
      • Reduce number of students with enrollment obligations prior to start of new school year
      • Check TREx daily so that records requests are received and fulfilled per FBISD and TEA requirements
    • Scheduling:
      • Review data needed to process report cards and progress reports for each grading period
      • Utilize job aides to support academic protocols
      • Properly schedule students as they enroll
      • Run reports to capture incomplete schedules of students and non-scheduled students
      • Meet twice weekly with campus (administrative) schedulers to ensure accuracy
      • Contact parents as needed to ensure receipt of report cards, special program records, etc.
      • Retrieve and send student records using TREx process to solidify scheduling and receipt of services for students
      • Document communication with special program staff to ensure scheduling accuracy
    • Customer Service & Professional Development:
      • Participate in biweekly, monthly, semester, summer and called sessions to improve and grow professionally
      • Communicate with parents regularly regarding student attendance, tardiness or non-engagement as it pertains to face-to-face and online attendance
      • Support school-based functions/duties to increase campus accountability standards
      • Learn District-approved software as needed (i.e. Elevate Data Quality) to enable proper monitoring of PEIMS-based data errors
      • Collaborate and mentor novice attendance clerks who need additional support
    • Supervisory Responsibilities:

    Qualification Requirements

    • High School diploma or GED
    • Minimum of 2 years of experience in either school-based, office, or clerical work
    • Strong computer skills (Microsoft Word, Excel and Adobe)
    • Proficient in all general office skills such as data entry or filing
    • Strong customer service skills
    • Highly organized, detail-oriented and able to multi-task
    • Must work with a high degree of accuracy
    • Demonstrated knowledge of or able to comprehend and apply state attendance and enrollment laws
    • Ability to communicate effectively, both orally and in writing

    Physical Requirements/Working Conditions

    • Work is performed in classrooms, offices, work stations and meeting rooms
    • The position requires occasional walking, standing, sitting, bending, stooping, kneeling, crouching, crawling, and lifting/carrying work related items weighing less than 40 pounds, such as books, papers and presentation materials
    • The employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear
    • Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus
