Elementary Principal Secretary
About the Role
Under the direct supervision of the Building Principal, this position provides administrative and secretarial support for the school and public being served. In addition to typing, filing, scheduling, and communicating, the role involves handling highly confidential and sensitive information in a fast-paced environment. Independent judgment is required to plan, prioritize, and organize a diversified workload.
Responsibilities
- Prepares written materials (schedules, reports, memos, letters, etc.) for documenting activities, providing written reference, and conveying information.
- Serves as a conduit for communication between administrators, staff, parents, and students.
- Attends meetings as assigned to represent building administration, take minutes, and convey/gather information.
- Compiles data from various sources (attendance, staff and student handbook, enrollment counts, payroll, etc.) to comply with financial, legal, and administrative requirements.
- Coordinates school-based programs and activities.
- Maintains documents, files, and records to provide up-to-date reference and audit trails for compliance.
- Maintains inventories of supplies and materials.
- Orients new building personnel (substitutes and staff) on school and district practices.
- Responds to inquiries from internal and external parties via phone, letter, or in person.
- Provides basic first aid to students in the nurse's absence.
- Coordinates building safety and security in collaboration with the Principal.
- Performs other duties as assigned.
Qualifications
- High school diploma or equivalent.
- Prior office experience required.
- Positive, professional attitude.
- Excellent communication skills, both written and oral.
- Strong interpersonal skills with the ability to effectively manage conflict.
- Proficiency in computer software and database applications (e.g., Word, Excel, PowerPoint, Synergy, Subfinder, etc.).
- Good organizational skills, including event scheduling.
- Ability to handle sensitive and confidential situations with poise, tact, and diplomacy.
- Problem-solving skills.
- Ability to multi-task and work with frequent interruptions.
Skills, Knowledge, and Abilities
- Skills: Operating standard office equipment and software; occasional skill upgrades to meet changing job conditions.
- Knowledge: Basic math (fractions, percents, ratios); reading manuals; writing formatted documents; understanding complex instructions; professional telephone etiquette; computer software (Microsoft Word, Excel, school-related software).
- Ability: Gathering, collating, and classifying data; working with diverse individuals/groups; problem-solving; maintaining confidentiality; adapting to changing priorities; working with interruptions; displaying tact and courtesy.
Work Environment
The role involves some lifting, carrying, pushing, and pulling; occasional stooping, kneeling, crouching, and crawling; and significant fine finger dexterity. The job is performed in a generally clean and healthy environment.
