About the role

The Education Program Specialist I will provide administrative academic support for programs in the Department of Allied Health Professions (BSHS, BSHS-SLP, CLS, NMT, Radiation Therapy) by assisting with the recruiting and admissions process, student support, course management and program evaluation.

Responsibilities

  • Serve as the primary contact for applicants/prospective students, providing information on admission requirements, application status, and program details. Review applications for completeness and accuracy and provide feedback as needed.
  • Evaluate transcripts through grade conversion and GPA calculations; create and maintain applicant files for review by the chair, program director, and admissions committee, and rank applicants based on established criteria.
  • Maintain Excel spreadsheets tracking applicant qualifications, characteristics, and admissions data, and coordinate with the admissions team to ensure timely processing.
  • Manage the full admissions process, including scheduling interviews, maintaining applicant databases, and monitoring application progress. Prepare action forms for accepted, alternate, and rejected applicants and notify candidates of admissions decisions.
  • Communicate with incoming cohorts throughout spring and summer to ensure they receive required information prior to arrival, and host virtual meetings to provide updates and answer questions.
  • Maintain student records, track enrollment data, and prepare semester & annual reports for institutional use.
  • Serve on the AHP Admissions Committee and export data from Slate to compile reports and present admissions data at committee meetings.
  • Submit curriculum inventory data and Banner class rosters to the Registrar each semester for all programs. Create CRNs, prepare Curriculog proposals, submit reports, perform Banner overrides to enable registration, and coordinate classroom services to ensure all courses have assigned space.
  • Notify students of registration instructions (dates, location, CRNs, credit hours) and track registration requirements.
  • Prior to each semester, enter and submit course schedules to the Registrar using Banner, including classifications, descriptions, schedules, rooms, and textbooks. Process and submit rosters, withdrawals, and add/drop forms.
  • Plan and execute August orientation by developing schedules, agendas, and handouts, and coordinating presentations with university departments for new cohorts.
  • Serve on the Learner Activities Committee, supporting planning and facilitation of student engagement activities. Maintain cohort mastery files and oversee remediation tracking. Assist incoming and current cohorts with ID badges, immunization and CPR compliance. Maintain and update 50+ clinical affiliation agreements and coordinate renewals with the Dean's office. Support faculty with educational software and exam proctoring, liaise with the JAG Store, and distribute updated textbook lists to students.
  • Participate with the admissions committee in recruitment events and information sessions. Participate in recruitment events on/off campus providing detailed information about program, admission requirements, and application process. Assist in promoting the AHP programs by creating recruitment fliers, communicating with undergraduate advisors, and delivering occasional department tours.
  • Perform other duties as assigned.

Required Qualifications

  • Bachelor's degree from an accredited college or university in education or an applicable field with a minimum of two years of experience with online educational programs, courseware development, or related experience, including experience working in an academic setting, student recruitment and admissions support.

  • Knowledge of Microsoft Word suite, databases, operating systems, and spreadsheets.
  • Excellent interpersonal, written, and verbal communication skills.
  • Attention to detail.
  • Critical-thinking skills.
  • Manage multiple deadlines and the ability to resolve issues.

Shift/Salary/Benefits

Shift: Days/M-F
Pay Band: B7
Salary: Minimum:$20.29/hour - Midpoint:$25.33/hour
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
Recruitment Period: Until Filled

Conditions of Employment

  • All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.
  • If applicable for the specific position based on the duties: the candidate will also need to have a credit check completed for Positions of Trust and or approved departmental Purchase Card usage.
  • Motor vehicle reports are required for positions that are required to drive an Augusta University vehicle.
