Education Specialist, Programs
Responsibilities
- Cook up day-to-day administrative activities, ensuring timelines, records, and communications remain accurate and up to date.
- Support multiple concurrent assignments by tracking deliverables, adjusting priorities as needed, and following through with internal teams and external contacts.
- Prepare, organize, and maintain documentation, reference materials, and process guides to improve consistency for future program work.
- Serve as a reliable point of contact when interacting with physicians and other stakeholders, handling detailed communication with accuracy and discretion.
- Aid with program and project coordination tasks, including scheduling, meeting support, data entry, and follow-up on action items.
- Collaborate with departments across the organization to keep projects moving and ensure information is shared effectively.
- Quickly learn and use internal software tools to support team operations and reporting needs.
- Occasionally provide support outside standard business hours, such as evening conference calls, and travel when program needs require it.
Requirements
- Prior experience in administrative support, office coordination, or program support roles.
- Strong ability to manage competing requests from multiple stakeholders while maintaining attention to detail.
- Strong communication skills with the confidence to interact with physicians and other senior-level contacts.
- Proficiency with general administrative tasks such as scheduling, documentation, data entry, and call handling.
- Ability to learn new systems and software platforms quickly and apply them effectively in daily work.
- Demonstrated organizational skills with the ability to build and maintain efficient workflows and support materials.
- Flexibility to accommodate occasional evening meetings and travel as needed.
Qualifications
The ideal candidate will have a bachelor's degree and at least 2 years of relevant experience in administrative support, office coordination, or program support roles. Experience with Microsoft Office Suite and familiarity with project management tools is preferred.
