About the Division

The Division of Oncology at Stanford University bridges basic science, clinical diagnosis, and cancer treatment. Our research focuses on immunology, genetics/genomics, pharmacology, DNA repair, and oncogene action. Clinically, we cover all cancer types with a strong emphasis on clinical trials, new diagnostic and therapeutic approaches, and correlative laboratory studies. Our work is supported by peer-reviewed grants, industrial agreements, and research endowments.

About the Role

The Education Program Coordinator will manage, administer, and support the operations of the joint Hematology and Oncology clinical fellowship program, post-doctoral affairs, visiting scholars, and conferences/CME programs within the Division of Oncology. This hybrid-eligible position involves close collaboration with fellowship program directors and senior management to recommend and formulate policies ensuring program success.

Responsibilities

Fellowship Program Management

  • Independently implement, administer, and evaluate day-to-day activities of the residency/clinical fellowship program(s), ensuring compliance with policies, procedures, and standards.
  • Act as subject matter expert to interpret and apply complex program guidelines.
  • Supervise the fellowship and faculty evaluation process, including project plans, timelines, and objectives.
  • Present analysis of programs and evaluations to ensure compliance with accreditation (ACGME), licensing boards, and GME Office requirements.
  • Ensure fellows are credentialed before starting rotations and manage affiliation agreements with other hospitals.
  • Oversee goals and objectives for fellows’ rotations in external clinics and recommend corrective actions if needed.
  • Prepare and administer the annual fellowship budget (~$3M) from GME funds, grants, endowments, and gifts; monitor spending and approve expenditures.
  • Assist fellows and post-doctoral scholars in developing budgets for grant applications.
  • Supervise the fellowship coordinator in daily program activities and the annual application process.

Student and Post-Doctoral Services

  • Manage all postdoctoral affairs, students, and visiting researchers in the Division of Oncology.
  • Advise students and postdoctoral fellows on academic expectations, research, and financial planning.
  • Inform faculty about university guidelines for visiting researchers, scholars, and fellows.
  • Resolve conflicts between students/fellows and faculty, liaising with the ombudsperson or Dean of Postdoctoral Affairs as needed.
  • Manage financial aid, student records, and salary/stipend allocation in the Graduate Financial System.
  • Advise and manage the visa process for foreign students and postdoctoral fellows.
  • Supervise the post-doctoral coordinator in appointment materials, visa applications, and onboarding.

CME Programs and Conferences

  • Serve as the manager for all conferences and programs within the Division of Oncology.
  • Collaborate with faculty to develop program content and the annual schedule.
  • Manage CME application and renewal processes.
  • Promote conferences internally and externally and develop the annual conference calendar.
  • Create budgets and timelines for meetings and events, working with external vendors for coordination.
  • Supervise the conference coordinator to ensure smooth logistics for announcements and attendance.

Requirements

  • Bachelor’s degree and three years of relevant experience, or a combination of education and relevant experience.
