About the team
WMX, Warner Music Group's culture-driving merchandise, creative content, and artist services division, is a global full-service team that offers creative direction, production services, and support for WMG licensed artists and labels. The Ecommerce, Creative and Production teams at WMX are hands-on, super fun, and highly collaborative group of creatives who live and breathe artist branding. As industry pioneers, we don't just make merch; we build complete product worlds that bring an artist's vision to life. Our team operates under a simple but powerful motto: Play, discover, develop.
Responsibilities
- Manage extremely active, fluid calendars and personal meeting schedules for leadership, prioritizing time-sensitive requests and anticipating conflicts.
- Coordinate and schedule internal design sessions, cross-functional team check-ins, and vital meetings with external clients and artist managers.
- Plan, organize, and execute internal events, team-building activities, and collaborative workshops for the broader creative department.
- Oversee, organize, and maintain the aesthetic and functional setup of our physical creative studio space and artist merchandise showroom.
- Serve as the primary administrative point of contact and communication bridge for all internal teams, design studios, and external production vendors.
- Assist with digital asset management, including retrieving, organizing, and distributing art files, tech packs, and approvals to keep workflows scalable.
- Handle sample management, tracking physical apparel and product prototypes from the factory floors straight to the showroom and design tables.
- Arrange complex travel plans, detailed itineraries, and accommodations for production site visits or industry events.
- Process and track expense reports, invoices, and basic vendor paperwork in a timely manner.
Requirements
- Minimum of 3 years of experience as an assistant or high-level coordinator supporting senior leadership, preferably within a creative agency, fashion brand, production house, or music environment.
- Exceptional organizational and time-management skills, with a proven ability to multitask, protect executives' time, and maintain a pristine physical environment like a showroom or studio space.
- Flawless written and verbal communication skills, with a professional, approachable, and trustworthy demeanor when dealing with high-profile clients, vendors, and stakeholders.
- Enjoy working in a highly collaborative, hands-on environment and are equally excited about the art of creative storytelling and the puzzle of physical production execution.
- Passionate about music, merchandise, and pop culture, and possess a strong desire to keep the team's operations organized so we can scale our business.
Preferred Qualifications
- Proficiency in digital workspace and project management tools like Google Workspace, Airtable, Excel, Asana, or Monday.com.
- Basic understanding of apparel production specifications, tech packs, or retail manufacturing workflows.
- Experience formatting visual presentations or pitch decks using Keynote, PowerPoint, or Google Slides.
Schedule
This position requires a minimum of 4 days per week in the office. We value in-office collaboration, which is essential for talent development and strong working relationships.
Pay
Salary Range: $26.00 to $35.00 Hourly. Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
