About the Role

The DOT & Fleet Compliance Administrator supports the DOT and fleet needs of MEI regional offices by collaborating with Corporate Operations to oversee fleet safety and DOT compliance. This role manages company programs for the assignment, utilization, maintenance, repair, replacement, and disposal of fleet vehicles and equipment.

Responsibilities

  • Develop and maintain a fleet management platform for vehicle and equipment inspection, maintenance, and logging of engine hours and preventative maintenance activities.
  • Perform DOT-related reporting, including fuel tax (IFTA), and assist with permit attainment or certifications.
  • Educate drivers on electronic logging devices (ELD), vehicle dash cameras, and related policies.
  • Participate in accident/incident reporting, review reports to determine cause and accountability, and proactively work toward accident prevention.
  • Assist the DOT Compliance and Fleet Manager with maintaining files and record-keeping for driver qualifications, including prior employment history and drug/alcohol testing documentation.
  • Conduct annual reviews of driving records and ensure CDL medical cards are current for both CDL and non-CDL operators.
  • Assist management and employees in renewing medical certificates and provide appropriate records to outside entities (e.g., state agency DOT).
  • Work with talent acquisition and staffing agencies to confirm and obtain driver qualification documents.
  • Coordinate random pool drug and alcohol testing participation per DOT regulations.
  • Accumulate driver fuel receipts and mileage reports, and organize data for fuel tax reporting to IFTA or leased tractor vendors.
  • Track and confirm fuel usage reports with on-site fueling services.
  • Serve as a liaison between MEI and tractor/trailer leasing vendors to confirm billed unit information, purchase orders, insurance, and invoicing.
  • Work with regional offices and corporate accounting to track capital assets accurately.
  • Assist in the PO requisition process and organize purchasing card receipts for statement reconciliation.
  • Perform all other tasks as assigned.

Requirements

  • High School Diploma or equivalent required; associate degree preferred.
  • Minimum of 3 years of experience in transportation, logistics, and working with DOT compliance regulations.
  • Ability to interpret and apply laws and regulations and disseminate information to staff at all levels.
  • Proficiency in Microsoft Office (Word, Outlook, PowerPoint) with advanced Excel knowledge and accurate data entry skills.
  • Excellent organizational and time management skills; ability to work independently and be detail-oriented.
  • Ability to maintain discretion and confidentiality of employee information.
  • Strong relationship-building skills with internal and external entities.
  • Ability to perform regular and predictable work during scheduled times.

Physical Requirements and Working Conditions

  • Normal, climate-controlled office environment with frequent use of hands and arms, and manual dexterity.
  • Extended periods of seated work using a computer, telephone, and standard office equipment.
  • Ability to perform general physical activities, including climbing, lifting, balancing, walking, stooping, and handling materials weighing up to 50 pounds.
  • Frequent outdoor work with exposure to inclement weather and uneven terrain.
