Donor Relations Coordinator, Chabot Space & Science Center (Oakland)

About the Role
The Donor Relations Coordinator is a key member of Chabot’s Development team, reporting to the Director of Development. This position coordinates planning and dissemination of all communications related to donor cultivation and stewardship, including donor impact reports, special promotions, donor profiles, event invitations, and follow-up. The role supports donor engagement through timely gift acknowledgement, recognition, event support, and benefits fulfillment. Exceptional people, project, and data management skills are required, along with the ability to develop and share compelling narratives both verbally and in writing.
Responsibilities
- Communications & Fundraising
- Coordinate essential donor communications, including email updates, donor acknowledgements, and renewal/pledge reminders.
- Partner with the Individual Giving Manager and Director to design, develop, and distribute quarterly Donor Impact Reports, managing timelines, curating/drafting content, and generating distribution lists.
- Coordinate scheduling of member/donor communications with Development and Marketing teams to ensure consistency and alignment in messaging.
- Conduct prospect research to identify new donors and upgrade opportunities; mine event data for new prospects and networks; prepare/update prospect profiles.
- Support invitation and attendance management for fundraising/cultivation events.
- Engage current and prospective donors to build the individual donor pipeline.
- Stewardship & Events
- Track and provide timely benefits fulfillment for individual donors and business partners.
- Support the Individual Giving Manager in developing, scheduling, and coordinating donor programs and events, including logistics like food/beverage arrangements.
- Coordinate documentation, communications, and tracking for donor programs/events, including invitations, attendance, and follow-up.
- Collaborate with the Membership Coordinator and Visitor Services team to provide high-quality hospitality for donors, including onsite tours and responding to inquiries.
- Represent Chabot at exhibit openings, public programs, and community events to promote donor/member participation.
- Administrative & Data Management
- Collaborate with the Membership Coordinator to evaluate and improve department systems/processes for donor/member tracking and relationship management.
- Manage list generation, maintenance, and updating for donor communications, including newsletters, invitations, and campaigns.
- Maintain data integrity for individual donor accounts, tracking communications, engagement, and event attendance; perform routine data clean-up.
- Reconcile contributed income reports with the Finance team monthly.
- Support the Director in preparing reports, prospect lists, and collateral for Development Committee and Board meetings.
- Assist the Membership Coordinator with requests for donations from other nonprofits.
- Additional duties as assigned.
Requirements
- BA/BS degree or equivalent combination of education and work experience.
- Two or more years of experience in nonprofit Development or Membership.
- Demonstrated interest in science, astronomy, and STEAM education preferred.
- Proven track record in database and systems management.

- Proficiency with Microsoft Office Suite, Constant Contact (or equivalent), GoFundMePRO, and Salesforce (or comparable CRM).
- Experience with high-level volunteers and board members is a plus.
