Location: Houston, USA office. Full-time position reporting to the Documentation Manager within the Documentation - Administration team. Daily travel to the office is required.
About the role
As the Documentation Specialist in Houston, you'll be part of a team handling documentation and commercial documents for multiple principals across all sectors of the maritime industry, including LNG, LPG, Petroleum Products, Chemical Products, Offshore, and Bulk commodities. You will deliver the standard of excellence that has defined the GAC brand for generations.
Responsibilities
- Coordinate and file Automated Commercial Environment, Export, Electronic Notice of Arrival and Departure, and export documentation for vessels as required.
- File Export entries with Customs and Border Protection for all vessels exporting cargo as requested.
- File vessel’s Electronic Notice of Arrival and Departure notices with the National Vessel Movement Center for any vessel entering or departing.
- Assist customers with the initial setup of acquiring a Standard Alpha Carrier Code, International Carrier Bond, or Importer Number to arrange for Automated Commercial Environment filings.
- Coordinate with the software provider for the setup of filings on behalf of customers.
- Generate Bills of Lading and Certificates of Origin.
Requirements
- Minimum two years of data entry experience working with AES, AMS, and eNOA/Ds.
- Import/export knowledge and maritime experience are preferred.
Skills
- Technical Skills: Proficient in MS Office (Word, Excel) and basic IT skills. Familiarity with GACShip (learned on the job).
- Attention to Detail: Meticulous in reviewing documentation, ensuring all documents are reviewed internally and presented to the client for approval.
- Organizational Skills: Able to manage multiple tasks and requests simultaneously without losing track of deadlines or follow-ups.
- Problem-Solving: Ability to work with customers in different time zones to ensure documentation is reissued promptly, sometimes outside regular business hours.
- Adaptability: Comfortable operating in a fast-paced, ever-changing environment where priorities can shift with little notice.
- Team Collaboration: Works effectively across GAC offices, agent networks, and internal teams, contributing to a culture of shared accountability and mutual support.
