Document Management Support
Job Summary
In this role, you will provide document management services, including but not limited to receiving, processing, distributing, retrieving, maintaining documents and records. You will assemble information to support project activities and assist in resolving issues and questions.
Major Responsibilities
- Provide document and/or records management services in accordance with established policies and procedures.
- Provide project support for Enterprise Content Management Systems (ECMS) such as Aconex.
- Interface on a routine basis with a variety of project personnel in resolution of questions, issues, or actions.
- Assist in the review of data entry accuracy for assigned work by performing daily, weekly, and monthly quality checks.
- Aids project team members with questions or issues related to document numbering, work process, electronic/digital signatures, legibility, etc.
- Assemble information needed to support project activities.
- Produce reports using standard office automation tools such as MS Excel or Word.
- Updates desktop work instructions, plans, and procedures.
Education And Experience Requirements
- University hire with 1-2 years of experience or 5-6 years of relevant work experience.
- Recent document/records/information management experience.
- Experience in EPC industry is desirable.
Required Knowledge, Skills, and Abilities
- Intermediate to expert proficiency in Microsoft Office Word, PowerPoint, Outlook, and Excel.
- Experience with ECMS with strong configuration management functionality, Aconex specific or Bechtel document management experience desirable.
- Excellent communication skills (oral and written).
- Strong aptitude for automation and eager to learn.
- Strong analytical skills to identify problems as well as develop and implement solutions.
- Good interpersonal skills to provide daily user support.
- Ability to prioritize and flexibility to multi-task in a fluid environment.
- Ability to work independently with minimal supervision in challenging, dynamic work environment.
- Willingness to get involved with overall project document management activities where required.
- Ability to handle multiple tasks.
