Document Control Specialist

About the Role
We are seeking a meticulous and highly organized Document Control Administrator (Contractor) to identify, organize, and index physical and digital product documentation. In this role, you will review and manage documents stored in both paper archives and electronic systems, including SharePoint. The primary objective is to verify and establish traceability for company products and records.
Location: Union County, New Jersey
Schedule: On-site, 5 days per week
Contract Length: 2-3 months
Responsibilities
- System Management: Identify and organize company product physical or electronic documents.
- Quality: Review documents to ensure relevance to specific product and ensure metadata is correct. Verify and ensure completion of documentation within the electronic and physical archive in compliance with internal documentation standards.
- Traceability: Confirm or establish precise tracking and traceability for ease of retrieval in future needs. Map and establish an organizational format for the electronic and physical archive.
- Filing & Retrieval: Classify, log, index, and store hard-copy and electronic data using consistent naming conventions. Ensure digital copies are established prior to segregation for long-term archival storage.
Requirements
- Education: Bachelor's degree is preferred or equivalent experience.
- Experience: 3+ years of proven experience working as a Document Controller or Specialist.
- Software Proficiency: Hands-on experience with EDMS platforms like SharePoint, Trackwise, Veeva, CatsWeb, and advanced knowledge of Microsoft Office Suite and Adobe Acrobat.
- Technical Skills: Strong understanding of standard file indexing practices and database management.
