Role

The Document Control Specialist will provide leadership of and promote Lithium Nevada's safety-first culture. They will ensure strict compliance with OSHA and MSHA regulations as well as Lithium Nevada's site-specific safety program. This role involves performing all engineering activities with a safety-first mindset, promoting and fostering employee "stop work" authority, identifying, reporting, and mitigating safety hazards and observations, and supporting pre-commissioning, commissioning, and start-up activities for the Thacker Pass Mine and Lithium Processing Facility.

Key Responsibilities

  • Provide leadership of and promote Lithium Nevada's safety-first culture.
  • Ensure strict compliance with OSHA and MSHA regulations as well as Lithium Nevada's site-specific safety program.
  • Perform all engineering activities with a safety-first mindset.
  • Promote and foster employee "stop work" authority.
  • Identify, report, and mitigate safety hazards and observations as part of daily activities and safety walks.
  • Champion safety standards and promote communication and accountability within all production areas.
  • Support pre-commissioning, commissioning, and start-up activities for the Thacker Pass Mine and Lithium Processing Facility in close coordination with Mining, Commissioning, and Start-Up teams.
  • Evaluate existing document management systems and procedures to determine current effectiveness and efficiency; identify and recommend improvements.
  • Consult with end users to identify and resolve issues in accessing electronic content.
  • Ensure security of systems and integrity of master documents by implementing document and system access rights and revision controls.
  • Ensure company compliance with applicable laws and regulations regarding data security and document management.
  • Communicate and collaborate with staff when assessing, acquiring, or deploying new electronic document management systems to ensure smooth integration and minimal disruption.
  • Maintain current knowledge of best practices and developments in document management technologies and techniques through professional organizations, conferences, and training.
  • Maintain an updated document review and distribution matrix.
  • Cover transmittals and issuances of all documents between appropriate groups and create reports for verification and auditing purposes.
  • Aid company and contractor teams in document searches and retrieval upon request.
  • Ensure proper identification and classification of documents according to company requirements.
  • Oversee and maintain access requests and user permissions within document control systems.
  • Create and maintain document control onboarding and offboarding procedures.
  • Build and maintain trusted relationships across all teams while championing a culture that reflects and supports our Purpose, Vision, and Values.
  • Perform other duties as assigned.

Required Qualifications

  • Bachelor’s degree in business administration, information technology, or related field, or equivalent work experience.
  • Three (3) or more years of experience in document control, records management, or a related field preferred.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office 365 applications (Word, Excel, Outlook, Teams, etc.); familiarity with MS Teams and SharePoint preferred.
  • Experience with Hexagon SDX or other document management systems preferred.
  • Willingness to learn Engineering Smart Tools systems.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of laws and regulations regarding document management and data security.
  • Strong analytical and technical skills with the ability to creatively solve problems.
  • Familiarity with engineering deliverable types and formats preferred.
  • General project experience required; operations experience a plus.
  • Ability to handle multiple responsibilities and follow through to completion.
  • Ability to work effectively in a fast-paced and dynamic environment.
