Document Control Specialist
Responsibilities
Maintain and organize project documentation, ensuring accuracy, version control, and accessibility.
Implement document control procedures in alignment with stakeholder standards and industry best practices.
Ensure compliance with regulatory requirements, contractual obligations, and internal policies.
Track and manage document revisions, approvals, and distribution across project stakeholders.
Cook up coordination with project managers, engineers, contractors, and other stakeholders to ensure proper document flow.
Facilitate communication between internal teams and external stakeholders regarding document updates.
Provide training and guidance on document control processes to project personnel.
Utilize enterprise document management systems to store and retrieve project records.
Ensure proper indexing and metadata tagging for efficient document retrieval.
Support audits and inspections by maintaining organized and accessible records.
Generate reports on document status, approvals, and outstanding actions.
Conduct periodic reviews to ensure document integrity and compliance with project requirements.
Aid in preparing documentation for regulatory submissions and project closeout.

Requirements
- Bachelor’s degree in engineering, construction management, business administration, project management, or related field, or equivalent combination of education and experience.
- 5+ years of hands-on document controls or similar experience on large (>=$500M), complex, heavy-civil infrastructure projects.
- Experience working with a variety of construction and project-related documents, including drawings, RFIs, submittals, and correspondence.
- Familiarity with ISO-based document control standards, guidelines, and best practices.
- Proficiency with industry standard enterprise document control systems and version control (e.g., SharePoint, e-Builder, Procore, Aconex, Asite, etc.).
- Proficiency with Microsoft Office Suite/Office 365 (e.g., Outlook, Teams, Word, Excel, PowerPoint, etc.).
