About the role
The Document Control Specialist leads project Document Control efforts in coordination with the Project Team, facilitating document flow (e.g., RFIs, submittals, and transmittals) to clients and suppliers while systematically assembling project documentation. This role works closely with the Project Manager and project team, utilizing existing document control procedures and templates to meet project-specific requirements. The specialist is responsible for creating and maintaining the Master Submittal Register, updating it weekly, and ensuring team members are informed about missing, scheduled, or required documents. The role is based in the Americas and reports to the Document Control Manager.
Responsibilities
- Develop the Project Master Submittal Register in coordination with the Project Team
- Maintain and update the Project Master Submittal Register during project execution
- Track incoming and outgoing documentation to clients and suppliers
- Manage the project document flow process with clients and suppliers
- Receive and file documents according to the Document Control Procedure
- Distribute documents for workflow processing
- Actively manage project workflow, following up with the Project Team on required submittals and RFI responses
- Submit variance reports to the Leadership team for project document deliverables
- Understand KPI reports and submit KPI data to Leadership
Requirements
- 5+ years of experience as a Document Control Specialist
- 5+ years of experience with Document Control Management Systems
- Experience developing Project Control Variance Reports
- Ability to work in a matrix organization
- Strong teamwork and collaboration skills
- Ability to multitask across multiple projects
- Ability to work in a fast-paced environment
- Excellent communication skills
