Document Control Specialist
About the Role
The Document Control Specialist I will support project document control functions for construction projects as well as support other Electric Supply Engineering (ESE) Document Control activities. The ESE Document Management team manages Electrical Engineering Records (ERC) for Electric Supply Operations, including records during the execution phase of capital projects in coordination with Engineering and Enterprise Project Management (EPMO). This team also leads drafting support for the Engineering team and manages Computer Aided Drafting Standards, playing a major role in delivering the company’s capital investment strategy and maintaining configuration management for Operations team members.
Responsibilities
- Work closely with engineering personnel, guiding them on review and record requirements documented in procedures and job aids.
- Process engineering and project records and plant modifications such as drawings, manuals, transmittals, correspondence, and engineering change notices (ECN).
- Perform standard routine-level tasks and provide support for projects during design, construction, and close-out.
- Update and maintain the electronic database used for tracking, transmitting, and distributing documents and vendor submittals.
- Report on activities for Daily, Weekly, and Monthly Operating Reviews.
- Accurately and timely request controlled document numbers from Plant Document Control / Engineering Record Center (ERC) per established numbering conventions, including critical drawings such as WD (wiring diagrams) and P&IDs (Piping & Instrumentation), as well as controlled numbers for circuits, raceways, valves, conduits, etc.
- Assess and audit records for accuracy and completeness, identify issues, and lead implementation of recommendations and corrective actions for project/plant records.
- Assist in the management and updates of document management procedures.
- Provide hard copy documents to projects for construction.
- Provide hard copy critical documents to Plant Document Control at the end of the project.
- Maintain work areas in a clean and orderly manner.
- Order supplies such as paper and toner for plotters and coordinate IT support when needed.
- Exemplify safe work practices and follow the Company’s compliance standards.
- Interface regularly with engineering, plant personnel, and drafters.
- May require carrying large, rolled prints to various locations in the plants or to projects.

Requirements
- High school diploma or equivalent.
- 2–4 years of experience in records management or similar roles.
Preferred Qualifications
- Experience in clerical, administrative, or document control—preferably drawing or construction document control.
- Experience in database management.
- Coursework or an associate degree with specialization in Information Science, Data Processing, or Data Processing Technology.
- Utility, engineering, or construction document control experience.
- Experience with Adobe Pro, plotter, and scanner operations.
