Responsibilities
- Handle the creation, review, approval, revision, and secure archival of documents.
- This includes document naming, classification, metadata, revision and version control.
- Maintains project record keeping system; ensure that all records management/document practices are performed in accordance with requirements.
- Aids in monitoring, tracking, and reporting on the status of project documents and deliverables to ensure time, cost, and quality metrics are in line with the approved project plans.
- Establish, maintain, and enforce document control procedures for engineering and project documents, including managing naming conventions, revision control, file types, etc.
- Receive, review, log, and distribute incoming and outgoing documentation, including drawings, specifications, RFIs, submittals, transmittals, procedures, reports, and correspondence.
- Ensure documents adhere to company formatting, revision, and quality standards.
- Communicate with clients, vendors, and engineering teams regarding document requirements and submission schedules.
- Work in multiple EDMS.
- Have a working knowledge of email and be able to manage basic documents using Microsoft Office Suite.
- Operate copy machines and general office equipment.
- Assist with the preparation of client meetings, reserving conference rooms, coordinating refreshments, collecting, and compiling documents, drafting correspondence, etc.
- Provide routine administrative services to engineering professionals working on a project team, including maintaining electronic documents from clients and suppliers.
- Other duties as assigned.
- High School Diploma / GED.
- Must have 1-3 years of project support, document control or similar experience.
- Must be detail-oriented and be able to recognize priority of deliverables for processing.
- Strong technical skills needed in the following: Adobe Acrobat, Microsoft Office Suite (SharePoint, Word, etc.) with intermediate to medium skills in Excel and word.
- Must possess excellent communication and written skills.
- Must have effective planning and organizational skills with the ability to work with a high degree of accuracy.
- Must have problem-solving skills, to strive to understand contributing factors, work to resolve complex situations with appropriate management.
- Must be a self-starter and dependable. Must be able to meet committed deadlines, work independently, be accountable for work, maintain focus, be punctual, and have good attendance.
- Able to maintain a professional attitude and work as a team member.
