About the Role
A Document Administrative Associate maintains organized and updated documents for a business using document management software, ensuring proper and secure storage.
Responsibilities
- Review and process a variety of documents with a high degree of accuracy.
- Ensure that all documents adhere to established standards and guidelines.
- Identify and rectify discrepancies or errors in the documentation.
- Collaborate with internal teams to gather missing information and ensure completeness of documents.
- Ensure seamless document access across departments and compliance with company policies.
- Undertake various administrative projects as needed, demonstrating flexibility and adaptability.
- Enter data from source documents into appropriate systems or databases.
- Maintain efficient filing systems for easy document retrieval.
- Assist in the development and improvement of document processing workflows.
- Organize an archiving system, retrieve documents upon request, and outline a long-term storage strategy.
- Assist with records retrieval during 3rd Party and Regulatory Audits.
Requirements
- High school diploma or equivalent; additional education or certifications in document management/administration is a plus.
- At least three years of proven experience in document management, archive management, or records management.
- Experience with MasterControl software or similar software is a plus.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Proficient computer skills, including experience with document processing software and office productivity tools.
- Ability to prioritize and manage multiple tasks simultaneously.
- Strong written and verbal communication skills.
- Top-class typing, writing, and report writing skills.
Work Environment
- Work will take place in a warehouse environment and various types of manufacturing environments, as well as outdoor settings.
- Prolonged standing, climbing, pulling, and lifting of heavy objects may be required.
