About the role
As the Division Assistant Controller, you will lead the local Accounting Department, ensuring superior client satisfaction through excellent customer service for all accounting deliverables. This role involves strategic support for leadership, oversight of accounting operations, and collaboration with internal and external stakeholders to drive process improvements and maintain high standards of accuracy and timeliness.
Responsibilities
- Partner with the Division Controller to provide strategic support for the Division President, Director of Financial Services, Chief Financial Officer, and other Company Leadership
- Assist with oversight and direction of the Division’s accounting operations
- Communicate and interact with Financial Services and Division HOA Community Association Managers to ensure excellent client service
- Ensure accurate and timely processing of client deliverables, including financial statements, account reconciliations, vendor payments, customer receipts, banking activity, audits, and special financial projects
- Assist HOA finance committees and/or internal Leadership in analyzing and reviewing financial statements
- Complete and coordinate client/internal data for tax preparation and respond to audit/CPA questions
- Assist in preparing and monitoring client/internal budgets and actual expenses
- Ensure monthly and annual client/internal A/R is closed accurately and timely
- Participate in customer service by calling and responding to client A/R questions
- Research and collect outstanding Division A/R
- Work with reserve study specialists to complete annual reserve studies
- Assist in reviewing A/P to resolve vendor issues
- Implement and manage accounting internal controls
- Maintain a continuous improvement mindset to identify, review, and implement process improvements
- Define standards, policies, procedures, and organizational enhancements to meet Division goals
- Monitor and analyze revenue and EBITDA results, making recommendations for improvements
- Become an expert in the accounting systems and practices of The Management Trust
- Train staff on systems, processes, and procedures
- Participate in the recruitment process for accounting team members
- Build strong internal, external, and cross-functional relationships
- Perform other duties and special projects as assigned
Requirements
- Bachelor’s degree with a primary focus in Accounting
- 5+ years of work experience in an office or professional environment
- Advanced and/or specialty degrees/certifications plus leadership experience is desired
- Ability to work in a dynamic, fast-paced deadline environment while managing multiple tasks
- Experience partnering with leaders to make sound recommendations based on business needs
- Strong MS Office skills (e.g., Excel) and comfort mastering new software programs
- Ability to maintain confidence, confidentiality, and composure during complex situations
- High degree of attention to detail and accuracy
- Professionalism, strong interpersonal, customer service, and teamwork skills
- Community Management industry experience is a plus
- Valid driver’s license, vehicle insurance, and driving record in compliance with Company policy
Essential Functions
- Use standard office equipment, including computer, phone, copier/scanner, etc.
- Remain stationary for extended periods
- Lift up to 25 pounds
- Travel to and from offsite locations
Pay
$70,000 - $85,000 annually, depending on experience.
Schedule
- Monday–Friday, approximately 8:00 AM–5:00 PM
- Occasional long hours may be required to meet business needs
