HPC Industrial, powered by Clean Harbors, is seeking a District Administrator to join our safety-focused team in Westlake, LA. This role requires daily on-site presence (Monday–Friday) and reliable transportation.

About the role

The District Administrator is responsible for daily payroll reconciliation, vendor purchase order management, billing/invoicing, and monthly financial closeout for assigned branches. This role supports general administrative functions and improves the quality of back-office operations.

Responsibilities

  • Ensure Health and Safety is the number one goal by following policies, processes, and acting in a safe manner at all times.
  • Complete daily tasks related to the Quote to Cash process: worksheet review, billing/invoicing, customer PO management, contract compliance, vendor PO management, cash application, and collections.
  • Reconcile daily payroll, manage vendor purchase orders, and oversee monthly financial closeout for assigned branches.
  • Lead frontline processes, including accurate time entry, validation and approval of hours worked, discrepancy resolution, and timely payroll processing.
  • Assist branches with financial close processes, ensuring revenue/cost accruals and accuracy of Profit and Loss statements.
  • Serve as the first point of contact for escalated Revenue (Quote to Cash) compliance issues (e.g., Credit & Rebill, Contract Pricing, Non-Con, IP, No-Show).
  • Meet Key Performance Indicators (KPIs) for branch administration, such as DSO, accruals, vendor invoices, payroll, and reconciliations.
  • Support facility and customer initiatives, including large events and new customer onboarding.
  • Travel up to 30% of the time.

Requirements

  • Bachelor’s degree in business, management, accounting, or finance preferred. In lieu of a degree, 4+ years of combined industry and professional experience will be accepted.
  • 2–5 years of experience in business, invoicing, accounting, or finance, with management experience preferred.
  • Experience preparing invoices, managing budgets, forecasts, and financial reports.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) with advanced Excel skills (formulas, pivot tables).
  • Strong communication and problem-solving skills.
  • Demonstrated understanding of finance and accounting terminology; industry terminology is a plus.
  • Valid driver’s license and reliable transportation.
  • Must possess or be able to obtain a Transportation Worker Identification Credential (TWIC) within 3 months of hire.
  • Must possess or be able to obtain a valid U.S. passport within 3 months of hire.
