About the Role
This position provides advanced administrative support within facility operations, assisting district management and employees through a variety of tasks. The role involves processing confidential and time-sensitive documentation, handling employee communications, and supporting various functional groups. Familiarity with oil field services concepts, practices, and procedures is essential, along with adherence to departmental standard operating procedures. The role may also include special projects assigned by management and requires working under limited supervision.
Responsibilities
- Confirm time worked data is correctly entered into the UKG WFM system, including rig hours and non-billable time for payroll.
- Input field tickets and time and attendance for all field and shop employees as needed.
- Maintain service tickets, operational support records, and create material requisitions for various services and products.
- Perform clerical and administrative support tasks.
- Communicate effectively by phone and email with internal and external customers.
- Handle office tasks such as distributing, filing, and maintaining department documents, company data, and limited confidential records.
- Process transactions including job tickets, billing, invoicing, shipping, and support with personnel documents.
- Support work procedures to improve efficiency and effectiveness of assigned operations with Human Resources, Operations, and other departments.
- Assist Human Resources with new hire procedures, including employee orientation, administering employee documents, and ensuring all necessary paperwork is completed and submitted to the corporate HR department.
- Support recruitment efforts and interview assistance for operations by verifying work history, references, and communication with candidates.
- Foster positive employee relations and address employee issues, escalating to Human Resources when necessary.
- Prepare reports, presentations, or correspondence as directed.
- Ensure compliance with established corporate standards.
- Perform all other duties as assigned by Axis management.
Requirements
- Minimum High School Degree or equivalent; higher education or administrative certifications a plus.
- Advanced computer skills, including proficient knowledge of Microsoft Office suite and database management systems (e.g., Kronos, iScout, ISNetworld).
- Minimum three (3) years of demonstrated experience in multi-tasking office administrative responsibilities, including data collection, analysis, and organization of company documents.
- Professional integrity, responsibility, accountability, and confidentiality.
- Highly organized and efficient; skilled at multi-tasking.
- Strong verbal and written communication skills; attentive listener (English required; bilingual Spanish preferred).
- Ability to take initiative and work independently when needed.
- Strong organizational, problem-solving, and analytical thinking skills.
- Ability to manage priorities, multiple projects, workflow, and meet deadlines.
- Commitment to customer service and ability to work in a fast-paced, team-oriented environment.
- Ability to clear eligibility on Axis pre-employment requirements.
- Proof of eligibility to work in the United States, as required by law.
