About the Role

As a Department Supervisor at Expeditors, you will lead a team to achieve flawless operational execution while developing a strong and reliable team infrastructure. This role focuses on technical expertise, knowledgeable and promotable personnel, and contributing to efficiency, profitability, and growth in alignment with our Vision and Mission. Responsibilities

  • Drive District and Department Excellence:
    • Ensure Employee Satisfaction metrics are above 90%.
    • Conduct timely and valuable performance reviews every 12 months.
    • Hold regular one-on-one meetings with all employees.
    • Ensure all team members complete 52 hours of training per year (4.33 per month) and mandatory training on time.
  • Operational Efficiency:
    • Freight Arrival logged within 2 hours of arrival.
    • Arrive to Reconcile within 24 hours.
    • Reconcile to Put Away within 24 hours.
    • Requested Ship to Actual Ship within 48 hours.
    • Maintain Cycle Count Accuracy at 95% or above.
    • Ensure all required MAS event codes are entered timely and accurately for data integrity.
    • Parcel and LTL/FTL Freight logged within 2 hours of arrival.
    • Loading Work order ready to load complete within 2 hours.
  • Administration and Personnel Management:
    • Exemplify and teach Expeditors' culture, mission, and goals.
    • Follow the 10 Critical Success Factors.
    • Ensure the operation is properly staffed, structured, and organized; conduct regular interviews.
    • Provide all necessary tools for departmental success.
    • Engage with team members daily, conduct check-in meetings, and provide ongoing feedback, coaching, and mentoring.
    • Manage staff, processes, and tools to handle volume spikes and growth.
    • Build healthy cross-functional relationships and promote team spirit.
    • Ensure compliance with company controls, policies, procedures, and processes.
    • Conduct daily huddle meetings and weekly supervisor meetings.
    • Support all Employee Satisfaction initiatives.
  • Operations:
    • Design and establish a structure to cover operational needs for Distribution/warehouse operations and satellite offices, accounting for future growth.
    • Supervise and monitor service execution within the Distribution department.
    • Performance Management: Oversee self-assessments and daily, weekly, and monthly performance monitoring to proactively resolve issues.
    • Exception Management: Review exceptions to drive efficiency internally and with customers.
    • Map and understand department process flow to improve efficiency, cycle times, service, and margins.
    • Actively participate in optimizing systems and tools to improve efficiency, productivity, and quality.
    • Set the tone for the departmental environment.
    • Ensure client-specific instructions are understood and followed at the desk level.
    • Maintain updated SOPs for all customers.
    • Ensure proper use of all Expeditors systems and tools.
    • Log files correctly and timely with proper codes, trace types, and events.
    • Review and resolve discrepancies from the root cause.
    • Trend discrepancy root causes and implement necessary training.
    • Handle all correspondence within the business unit timely and professionally.
    • Evaluate service providers and new business opportunities.
    • Maintain awareness of changes in regulations or company offerings and educate staff.
    • Escalate issues to the Distribution Operations Manager or Distribution Manager as needed.
  • Sales and Marketing (Growth):
    • Actively engage with sales, customer retention, and development teams globally.
    • Maintain and develop relationships with existing and new customers through value propositions.
    • Identify needs and sell tailored, value-added services to potential clients.
    • Participate in customer visits and calls, documenting them in the corresponding database.
    • Prepare effective customer presentations and updates.
  • Finance:
    • Comply with all company policies, including the credit policy.
    • Monitor the Daily Branch Revenue report to identify and correct errors timely.
  • Security, Health, and Safety:
    • Immediately inform the Branch’s Health and Safety representative of any unsafe conditions, incidents, or accidents.

Requirements

  • Bachelor's degree in Business Administration or equivalent combination of education and experience.
  • Minimum 2-3 years of experience in Distribution services.
  • Minimum 2-3 years of supervisory experience.
  • Strong negotiation skills.
  • Leadership style that empowers, coaches, mentors, and fosters a cohesive team environment with a focus on employee satisfaction.
  • Customer satisfaction-oriented.
  • Strong interpersonal and communication skills, with the ability to communicate at all levels (written, oral, and presentations).
