About the Role

The Director of Operations in the Adjudications Division supports the Chief Administrative Law Judge, Deputy Chief Administrative Law Judge, Administrative Law Judges, and supervises staff handling critical, time-sensitive processing work. The Adjudications Unit adjudicates over 2 million summonses annually and operates across various subunits.

Responsibilities

  • Manage and facilitate Adjudication Administrative operations, including hiring, personnel transactions, recruitment, onboarding, and related functions.
  • Process job posting requests, civil service list requests, and job offer requests for appointments, promotions, reassignments, and title changes.
  • Coordinate onboarding, including candidate screening, identifying qualified candidates, and scheduling interviews.
  • Advise hiring managers on efficient employment processing, onboarding, and HR support.
  • Provide subject matter expertise on personnel policies and procedures.
  • Analyze hiring needs and develop strategic plans to fill vacancies.
  • Manage completion of mandatory training for staff and Administrative Law Judges; notify staff of deadlines and new requirements.
  • Perform facilities-related functions, including coordinating floor plan movements, transfers, and collaboration with facilities, IT, and telecommunications staff.
  • Assist in maintaining the personnel services budget and interfacing with the Budget Office for contracts and purchase requests.
  • Support project initiatives, including analyzing business needs, budget considerations, and defining project scope.
  • Participate in departmental strategic and budgetary planning; prepare and administer contract budgets.
  • Manage vendor relationships with Fedcap, NYSID, Vanguard, Verra Mobility, IPS (NYPD), and other IT-related vendors.
  • Attend management meetings and assist the Chief Administrative Law Judge and Deputy Chief Administrative Law Judge as needed.

Requirements

  • A baccalaureate degree from an accredited college and four years of full-time progressively responsible clerical/administrative experience, including 18 months in an administrative, managerial, executive, or supervisory capacity supervising staff performing clerical/administrative work of more than moderate difficulty.
  • An associate degree or 60 semester credits from an accredited college and five years of experience as described above, including 18 months in a supervisory capacity.
  • A four-year high school diploma or equivalent and six years of experience as described above, including 18 months in a supervisory capacity.
  • Education and/or experience equivalent to the above, with all candidates requiring 18 months of administrative, managerial, executive, or supervisory experience.
  • Education above high school may substitute for general clerical/administrative experience at a rate of 30 semester credits for 6 months of experience, up to a maximum of 3½ years.

Preferred Skills

  • At least 3 years of experience in human resources and budget roles.
  • Ability to exercise discretion and maintain confidentiality of sensitive documentation.
  • Detail-oriented with strong organizational, prioritization, and multitasking skills.
  • Solution-oriented with exceptional research and problem-solving abilities.
  • Experience working with city vendors.

Pay

$130,000.00 – $133,503.00
