Responsibilities
- Practice and adhere to the Guiding Principles of the company and ensure all calls/emails are responded to within 24 hours of receipt.
- Directly supervise CAMS & ACAMS and other association management support staff as appropriate.
- Provide specific assistance to CAMS, ACAMS, and Inspectors in troubleshooting problems on properties where additional leadership, training, or intervention is needed, especially when Board/homeowner relationships are at risk.
- Develop and lead portfolio team meetings, all team meetings, and individual manager touch-base meetings with participatory involvement.
- Create and implement a client retention strategy for watch list accounts, key accounts, and other accounts as deemed appropriate by the supervisor.
- Review and approve all monthly Board of Directors packets prepared by staff for content and structure.
- Coordinate schedules and proactively attend board and membership meetings, mentoring managers and fostering positive relationships with board members to ensure client retention.
- Review and approve all annual meeting packets for assigned CAMS prior to each meeting.
- Review management reports and mass mailings to membership (e.g., budget information, newsletters, election information) produced by supervised staff.
- Review Company reports for trending and compliance, ensuring goals are met and Company standards of operation are adhered to.
- Ensure property inspections occur regularly by reviewing monthly reports and following up on problem areas to confirm effective action.
- Oversee projects involving all CAMS to ensure timely completion, including seasonal projects.
- Review income statements and variance reports for all portfolio properties quarterly to ensure quality, accuracy, and address concerns as needed.
- Understand and recognize association cash flow, inform the Board of negative or positive trends, and provide recommendations.
- Demonstrate proficiency in association budget preparation, review, and regulatory requirements; review budgets before submission to the Board for approval.
- Regularly review Ciranet functions to ensure managers are utilizing it properly to manage the community effectively, including work orders, management reports, calendars, committee and Board lists, and document updates.
- Acquire and maintain current knowledge of state and regulatory agency statutes and the community’s documents, policies, and procedures.
- Demonstrate proficiency in delinquency and collections processes.
- Understand contract terms, renewal dates, and implementation within the supervised book of business.
- Possess a thorough understanding of plats, ownership, and property rights.
- Understand the Board election process and guide portfolio clients through from start to finish.
- Understand the legislative process and educate clients on new laws.
- Provide oversight, onboarding, and training to new managers, ensuring compliance with required training.
- Attend monthly Director, management, and leadership meetings as appropriate.
- Conduct business at all times with the highest standards of personal, professional, and ethical conduct.
- Ensure compliance with Company guidelines and management operations as they relate to specific procedures listed herein.
