Director of College and School Counseling

Key Responsibilities

  • Establish caseloads for counselors within contract limits; oversee the counseling of students individually and in groups for college and career preparation, academic achievement and social/personal concerns
  • Supervise the college application process to assure dependable and efficient dissemination of information and submission of student records to colleges; monitor letters of recommendation, arrange for college visits, Instant Decision Days, financial aid and college information assemblies and NCAA process
  • Promote scholarships and nominations for competitive, national, state and local programs
  • Provide organization for standardized testing programs including SAT, ACT and PSAT/NMQST
  • Conduct yearly summative reviews for the professional staff and evaluations for the administrative assistants
  • Prepare the Guidance budget and monitor expenditures
  • Responsibility for Strategic Plan objectives
  • Provide quality assurance that all records of student and counselor interactions are properly maintained
  • Audit senior and transfer transcripts to ensure completion of the graduation requirements
  • Monitor long term absences including documentation, contacts with parent and notifications for teachers
  • Maintain a caseload of students
  • Development and implementation of the Master Schedule:
    • Utilize, analyze and maintain the electronic data systems to create and implement the master schedule
    • Record curriculum updates for the scheduling year on electronic sources and processing forms
    • Meet with individual department chairs and counselors to understand new courses and updated prerequisites
    • Monitor the course selections and electronic data input for course selection for rising sophomores, juniors and seniors; entering all incoming freshmen requests while assigning the appropriate interdisciplinary sections by semester
    • Organize course signups to determine section numbers with the Assistant Principal for Curriculum and Instruction for the Head of School
    • Build the master schedule from singletons to multiple sections considering the conflict matrix, Notre Dame filters such as the Interdisciplinary program and personnel limits
    • Prepare course sections for department chair assignments of personnel
    • Provide departments with class lists for final student placement
    • Distribute course waiver requests to department chairs and update student requests based on the department review of the waivers
    • Publish the online course schedules for students
    • Meet and monitor classroom and contract numbers
  • Administration of electronic record services for maintenance of grades, transcripts, standardized test scores, online course recovery, college search applications and scheduling processes.
    • Create the appropriate grade plans for courses
    • Produce transcripts and report cards
    • Produce Honor Roll and Honor Roll of Distinction
    • Supervise the nomination for local scholarships for senior award night
    • Oversee senior transcripts prepared for uploading to electronic data source for submission to colleges
    • Maintain and communicate student co-curricular eligibility data
    • Identify access dates for daily and quarterly grades on the administrative system
    • Produce nominations for local scholarships for Senior Award Night
  • Other tasks as assigned by Head of School
  • Direct Reports: Guidance Counselors, Special Learning Coordinator, Guidance Office Administrative Assistants

Qualifications

  • Masters of Arts/Science in Education
  • School Counseling Certification

Other

A background and fingerprint report will be conducted and submitted to State authorities as required by law for all personnel working within a school environment. Must be willing to undergo Catholic Diocese VIRTUS certification
