About the Role

The Director of Basketball Operations will direct the daily operations of the basketball program, oversee all aspects of recruiting within the sport, plan and coordinate team travel, manage scheduling to meet revenue obligations while maintaining competitive balance, and coordinate community relations and volunteer opportunities for student-athletes. This position serves as the director for summer camps and clinics and acts as the lead contact for all operations of the sport program and liaison to the Head Coach.

Responsibilities

  • Recruiting
    • Organize official and unofficial visits for recruits, including game-day logistics, meals, activities, seating, and itineraries.
    • Coordinate on-campus visits and events:
      • Official Visits: Arrange hotel and travel accommodations, schedule meetings with professors, athletic director, coaching staff, and academic services; create detailed itineraries.
      • Unofficial Visits: Align prospective student-athletes’ schedules with coaches, arrange meetings, send invitations to home games, provide campus/facility tours, and gather prospect information.
    • Manage logistics for recruiting events, including compliance paperwork, itineraries, lodging, transportation, meals, and locations.
    • Lead recruiting strategy:
      • Present prospects to coaching staff and determine assistant coaches’ travel destinations.
      • Provide compliance office with top prospects and organize the head coach’s travel schedule.
      • Maintain a master recruiting schedule and calendar, distributing travel details to compliance and business offices.
      • Equip assistant coaches with high school profile sheets and recruiting materials.
    • Maintain the prospective student-athlete pool:
      • Establish and update a data bank of prospects using recruiting services.
      • Distribute prospect lists to coaches and maintain a film log system.
      • Update recruiting boards and ensure top prospects have film profiles.
      • Analyze national recruiting trends, research new target areas, and review progress with coaches.
      • Maintain combine results and prepare tapes for staff meetings.
      • Create graphic designs and visuals for recruiting purposes.
  • Daily Operations
    • Work with the coaching staff to direct day-to-day operations of the sport program.
    • Collaborate with the Head Coach and Athletic Director to develop short- and long-range planning.
    • Recommend improvements to current policies and procedures.
    • Develop manuals for recruiting, academics, and student-athletes aligned with university and departmental policies.
    • Manage the sport’s budget and ensure operations adhere to university and departmental policies.
    • Maintain the team’s Twitter and Instagram pages.
  • Player/Parent Contact
    • Serve as the primary liaison between coaches and parents.
  • Academic Liaison
    • Act as the liaison to the Director of Compliance for admission procedures and assist with NCAA Eligibility Center filings.
    • Compile and process academic information on prospects, including pre-application binders for admissions, athletic director, head coach, recruiting coordinator, and compliance (containing transcripts, test scores, progress reports, and high school profiles).
    • Maintain academic paperwork, inform coaches of needed items, and manage individual player files.
    • Assist in monitoring the academic progress of student-athletes.
    • Establish and maintain an environment conducive to student-athlete welfare and academic success.
  • Summer Camps
    • Direct all summer camps, team camps, and clinics in compliance with departmental and NCAA guidelines.
    • Develop logistics for camps in collaboration with staff and maintain records of campers, teams, and financial transactions.
    • Provide full disclosure of camp details to the business office.
    • Handle recruiting aspects of summer camps, including providing prospect lists to coaches and recording times during camp.
  • Special Events
    • Coordinate and organize the end-of-year banquet and senior send-off, including all event logistics.
    • Assist with special events related to basketball (e.g., Hoopalooza, Hall of Fame, golf tournaments, reunions).
  • Compliance
    • Maintain thorough knowledge of NCAA rules and educate coaches on compliance matters.
    • Adhere to the “Ask before you Act” philosophy and maintain records of all compliance-related correspondence.
    • Submit phone logs, CARA reports, time management reports, and other required compliance documents.
    • Prepare and submit paperwork for national letters of intent, grant-in-aid lists, and other NCAA requirements.
  • Team Travel
    • Direct and coordinate team travel for home/away games and postseason championships.
    • Manage travel logistics, including rooming lists, practice times, meals, and itineraries.
    • Ensure compliance with university, departmental, and NCAA travel rules.
    • Manage team travel within budgeted resources, obtaining preapproval for all transactions.
    • Oversee the complimentary ticket list according to NCAA rules and contract allotments.
    • Submit invoices, travel requests, and vouchers for payment in a timely manner.
  • Community Relations
    • Coordinate annual visits to schools, hospitals, and volunteer opportunities for student-athletes.
    • Secure speaking opportunities for the coaching staff with local groups, advisory boards, philanthropic organizations, and schools.
    • Promote the program via social media.
  • Scheduling
    • Develop team competition schedules that meet revenue obligations, maintain competitive balance, fit within the travel budget, and align with NCAA parameters.
    • Maintain relationships with regional rivals to continue home/home series (e.g., SIU, MTSU).
    • Prepare and submit game contracts to the Athletic Director’s office.
    • Research game guarantees to maximize revenue opportunities.
    • Meet all scheduling requirements stipulated by conference membership.
  • Comply with all NCAA rules and regulations as outlined in the NCAA Division I Manual. Violations may result in disciplinary action, including suspension without pay or termination.
