About the role
This position manages administrative and operational staff, fostering effective collaboration between the department/division, clinical site personnel, and contracted hospital partners. Responsibilities include budget development, tracking, and execution for each divisional clinic, with a focus on patient communication, scheduling, access, and clinical/clerical workflow to support patient care and service. The role facilitates process improvement, implementation of long-range plans, short-term goals, and overall strategic plans.
Responsibilities
- Coordinates day-to-day administrative and clinical operations under department management.
- Communicates and enforces local hospital and WVU Medicine system goals, decisions, and operating guidelines to support staff.
- Serves as liaison for the Department regarding operational and human resources issues.
- Manages clinic spaces, ensuring optimal room utilization, patient safety, and capital/equipment improvements and maintenance.
- Participates in analysis, develops solutions, and leads patient satisfaction improvement initiatives to enhance patient satisfaction, access, and communication.
- Interviews and selects qualified individuals for employment within the department unless delegated to other appropriate managers/supervisors.
- Coordinates periodic evaluation and annual performance appraisals of employees.
- Establishes realistic goals and performance expectations.
- Monitors workflow for all clinical and clerical staff.
- Coaches and counsels employees to correct performance deficiencies in a timely manner.
- Assists employees in obtaining training to address skill or performance deficiencies.
- Disciplines employees, up to and including termination of employment as assigned.
- Participates with department leadership and internal/external partners in policy development and problem resolution.
- Coordinates facilities improvement projects consistent with established long-range plans, including renovations and upgrades.
- Acts as liaison to provide information and deliver policies/procedures related to billing and collection processes.
- Ensures billing documentation and processes flow unimpeded through the department.
- Oversees Medical Staff Credentialing, provider enrollment, and economic credentialing processes.
- Develops departmental/clinic budgets, reviews budgetary compliance, and explains variances to leadership.
- Works with department leadership to align the overall plan with clinical and academic components of the enterprise.
- Initiates projects and programs in consultation with leadership and coordinates their implementation.
- Reviews key operating indicators and assists with planning/implementation of new services, programs, or patient capacity options.
- Identifies emerging issues in local arenas that may impact the department’s mission, goals, or operations and recommends strategies for positive outcomes.
Requirements
- Bachelor’s Degree in Business, Health Care Administration, or related field and five (5) years of leadership experience in a healthcare setting, or
- Associate’s Degree in Business, Health Care Administration, or related field and seven (7) years of leadership experience in a healthcare setting, or
- High school diploma or equivalent and ten (10) years of leadership experience in a healthcare setting.
Preferred Qualifications
- Master’s Degree in Business, Healthcare Administration, Nursing, or related field.
- Experience with managed care issues/patient access.
- Experience in the operations facet of a large multi-site physician practice plan.

- Excellent written and verbal communication skills.
- Demonstrated leadership, organizational, and management skills.
- Strong interpersonal skills and the ability to effectively work with senior-level management, providers, clinical/clerical support staff, and external customers, fostering teamwork, delegation, and accountability.
Physical Requirements
- Ability to sit for extended periods of time.
- Prolonged periods of sitting or standing.
Working Environment
- Travel between multiple office locations.
- “On-call” to manage operational issues as they arise.
