Essential Duties and Responsibilities

  • Lead and mentor the Accounts Payable, Collections and Billing teams, fostering a culture of accountability, collaboration, and continuous improvement.
  • Provide leadership to the AP, billing and collections teams and manage day-to-day operations.
  • Distribute the workload to the AP, billing and collections team.
  • Liaison between the AP function, operations and vendors.
  • Responsible for the vendor master management in the Company's ERP system.
  • Responsible for the client master management in the Company's ERP system.
  • Review and approve coding of invoices.
  • Resolve payments and billing issues with clients and vendors, as necessary.
  • Support accurate and timely monthly, quarterly and year end close, including management of the monthly close calendar deadlines related to accounts payable and billing.
  • Supervise the creation and distribution of accurate and timely invoices for goods and services provided to clients.
  • Ensure billing processes are streamlined, and any discrepancies are resolved promptly.
  • Coverage with sales, contracts, and other internal teams to ensure billing aligns with contracts, orders, and agreements.
  • Monitor accounts receivable aging.
  • Identify opportunities for process improvements, automation, and system enhancements to increase the efficiency of accounts payable and billing operations.
  • Lead initiatives to implement new software solutions or optimize existing systems to streamline workflows.

Qualifications

  • Education and Experience: Bachelor's degree in Accounting, Finance, or related field. 5+ years of experience in Accounts Payable, Billing, and Finance, with at least 3 years in a managerial or director-level role.
  • Skills and Competencies: Strong leadership, management presence, interpersonal and relationship management skills. Innovative problem solving and strategic thinking skills, along with strong business and financial acumen and analytical capabilities. Strong verbal, written and interpersonal communication skills. Must be able to demonstrate the ability of maintaining privacy and confidentiality. Strong critical thinking skills; problem solving, and decision making. Must have the ability to gather data, compile information and prepare reports. Ability to manage multiple priorities, with attention to detail and accuracy. Ability to create and edit written materials. Ability to react quickly to changing business needs and adapt to dynamic business environments. Ability to communicate effectively to a variety of audiences. Must be able to work under pressure meeting multiple and sometimes competing deadlines. Skill in organizing resources and establishing priorities. Demonstrate cooperative behavior with colleagues, supervisors and clients. Strong time management, organizational, and follow-through skills. Ability to meet and exceed daily and weekly individual performance goals. Ability to work independently as well as assisting other team members when needed.
  • Computer Skills: Must be competent in the Windows operating system environment, Adobe Professional, Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) and learn other software as needed. Knowledge with financial reporting software, ERP systems, advanced excel and data analytics.

Physical Demands

  • Requires sitting for long periods of time, working at a desk. Some bending and stretching could be required.
  • Working under stress and use of computer/phone required.
  • Manual dexterity required for use of computer keyboard and mouse.
  • Occasionally may be required to stand, walk, stoop, kneel and/or crouch.
  • May occasionally lift and/or move up to 15 pounds.

Work Environment

  • Mainly indoor, office environment conditions.
  • The noise level is usually moderate.
  • Air quality is good and temperature is controlled.
  • Work Environment must be free from background noise and distraction, noise level is acceptable, temperature is controlled.
  • At home set up must meet all Company IT, privacy and safety requirements.

Pay and Benefits

  • Annual salary range: $135,000 - $145,000 per year.
  • Final compensation for this position depends on factors such as job-related knowledge, skills, experience, and qualifications.
