About the role

The Diagnostic Scheduler is responsible for coordinating patient schedules for multiple locations and diagnostic modalities: MRI, Mobile MRI, CT, Ultrasound, Nuclear medicine, Fluoroscopy, Bone Density, PET CT, ABR, Infusion and special procedures with and without sedation/anesthesia as well as other departments as assigned. Responsible for accurate data collection, documentation, and data retrieval using hospital computerized systems. Must have ability to obtain and maintain knowledge of multiple imaging protocols and contraindications to coordinate accurate scheduling of imaging exams. Reports to department leadership.

Responsibilities

  • Provides customer service in communications with families, doctor's offices, modalities, and any communication inside and outside of CHKD.
  • Responds to requests for radiology scheduling, including but not limited to the phone queue, electronic medical record (EMR), workque management (WQM), email and direct requests in a timely manner.
  • Processes the orders received by fax into the radiology registration folder of WQM, assigning each order to a patient.
  • Maintains an updated knowledge of the exam time length, prep, MRI magnet choice, and all of the restrictions associated with the schedule or type of exam, including special circumstances and to be flexible as these are updated.
  • Assists in the preparation of orders to be protocolled for the radiologist: preparing, sending, receiving and reviewing for order changes.
  • Verifies physician orders for completeness and assisting in locating missing orders.
  • Provides clerical, secretarial and project management functions related to diagnostic scheduling.
  • Collaborates with various departments, clinical personnel and Physician Practices for scheduling and access related information.
  • Receives and interprets incoming physician orders for verification during the scheduling process.
  • Explores and identifies opportunities for improvements; recommends enhancements to improve workflow and office processes.
  • Assists with training and orientation of new employees.
  • Works in conjunction with other areas of Radiology in the training of students.
  • Performs other duties as assigned.

Qualifications

  • High school graduate or GED
  • Medical terminology preferred
  • Ability to relate well with the public
  • Ability to effectively gather and exchange information in both oral and written communications with proper grammar, spelling and punctuation
  • Ability to coordinate multiple schedules based on individual preferences and guidelines
  • Ability to utilize scheduling software and maintain updated schedules
  • Ability to sort and file materials correctly by alphabetical or numeric systems
  • Proficient computer and data entry skills required
  • Possess superior time management and organizational skills

Working conditions

Normal office environment with little exposure to excessive noise, dust, temperature and the like.
