Responsibilities
- Aid in processing donations and composing donation acknowledgment letters.
- Support donor mailings, annual appeal materials, and other fundraising communications.
- Edit and proofread donor-facing materials.
- Prepare materials for individual donor cultivation and stewardship.
- Conduct donor and prospect research as needed.
- Administer grant applications, reports, and related materials.
- Organize and gather information for corporate, foundation, and government funders.
- Maintain grant and reporting calendars.
- Create stewardship materials and acknowledgments for institutional donors.
- Update and maintain donor and prospect records in Salesforce.
- Enter, prepare, and organize data in Salesforce.
- Track donor communications, gifts, and other relevant development activity.
- Support database needs for annual appeal, gala, and other key fundraising campaigns, including pulling reports and mailing lists.
- Assist with board and committee materials as needed.
- Prepare materials connected to trustee engagement and stewardship.
- Provide administrative and logistical support for various development and community events, including galas, fundraising events, cultivation events, stewardship events, and self-produced concerts.
- Assist with event preparation, guest materials, tracking, and follow-up.
- Support production-related planning needs, including timelines, budgeting support, roles and responsibilities, staff expectations, and user/guest experience.
- Proofread and edit institutional and departmental documents.
- Schedule and support development-related meetings as needed.
- Organize files, track projects, and maintain department systems.
- Assist with general administrative projects for the Development team.
- Scan, distribute, and file incoming mail.
Qualifications
- An interest in nonprofit fundraising, arts administration, music, education, or the performing arts.
- Excellent written and verbal communication skills.
- A strong attention to detail and proofreading ability.
- A highly organized and capable of managing multiple projects.
- Comfortable working independently and asking questions when needed.
- The ability to handle confidential information with discretion.
- Strong interpersonal skills and a collaborative spirit.
- Experience with Microsoft Office and/or Google Suite required.
- Experience with Canva, Adobe Acrobat, Salesforce, or other database systems is a plus, but not required.
- Prior internship, volunteer, or administrative experience helpful but not required.
