Responsibilities
- Coordinate internal communication between design, sales, and operations teams.
- Maintain design project tracking information and ensure project milestones are current.
- Assist with design documentation, permit packages, submittal packages, revised drawings, and approval tracking.
- Follow up on missing information required to complete design work.
- Support the Fire Alarm & Suppression Design Manager with workload tracking, reporting, meeting preparation, and process follow-up.
- Ensure design files, records, and supporting documentation are properly stored and maintained.
- Help improve consistency, accountability, and visibility across the fire alarm and suppression design process.
Qualifications
- Strong organizational skills with the ability to manage multiple priorities and active projects.
- Excellent written and verbal communication skills.
- Ability to follow established processes and maintain accurate records.
- Strong attention to detail, especially when handling project documents, submittals, and status tracking.
- Ability to work effectively with designers, sales team members, project managers, technicians, and customers.
- Comfortable using project management software, Microsoft Office, SharePoint, Teams, Outlook, and file storage systems.
- Experience with Procore is a plus.
- Ability to follow up consistently and professionally on open items.
- Basic understanding of construction, permitting, fire alarm, fire suppression, or design processes preferred.
