About the Role

This position is primarily located at Elmhurst Hospital with light travel to other hospitals for meetings and events. The role provides advanced administrative support to the executive and senior management of the Surgical Services team at Endeavor Health, requiring a high level of professionalism, discretion, and the ability to handle complex tasks in a dynamic healthcare environment.

Schedule

Full-time, 40 hours per week. Hours are 7:30 AM – 4:00 PM and may flex based on department needs.

Responsibilities

  • Serve as the primary point of contact for service line executives (Directors), managing schedules, correspondence, and communications.
  • Coordinate and manage appointments, meetings, and conference calls, ensuring efficient use of executives' time.
  • Draft, edit, and proofread executive-level emails, memos, reports, and other documents to reflect the executive team's voice and objectives.
  • Maintain and update documents, records, and databases with accuracy and adherence to healthcare regulations.
  • Generate and compile reports, data analyses, and presentations for executive decision-making.
  • Collaborate with executives on special projects and strategic initiatives, conducting research, data analysis, and presenting findings.
  • Process invoices, monitor spending, and reconcile financial statements for the executive team.
  • Oversee office operations and supplies, ensuring smooth day-to-day functioning.
  • Assist in the onboarding of new administrative team members and contribute to their training.
  • Handle sensitive and confidential information with discretion and professionalism.

Requirements

  • High School diploma required; Bachelor's degree preferred.
  • 3-5 years of experience in an administrative role.

Skills

  • Proficiency in typing and virtual meeting media platforms.
  • Advanced skills in Microsoft Excel, Word, PowerPoint, and Outlook.
