About the Role
The College of Education is seeking a Department Business Administrator at either Level 2 or Level 3. The role manages administrative, financial, and human resources operations for a university department.
DBA Level 2 Responsibilities
- Manages administrative, financial, and human resources operations of a moderately complex university department.
- Oversees overall office administration, including coordination and supervision of support staff.
- Plans the annual budget in conjunction with the department head and monitors expenditures to ensure compliance.
- Oversees expenditures of grants and contracts, maintaining fiscal records in coordination with the Office of Sponsored Programs.
- Manages all financial activities and accounts, including monthly reconciliation.
- Authorizes and oversees budget allocations, revenue, and expenditures.
- Handles department personnel and payroll functions.
- Serves as liaison with central payroll, human resources, Office of Sponsored Programs, and other department business managers.
- Maintains and manages databases for personnel and payroll records.
- Interprets university policies and procedures for faculty and staff.
- Reviews and approves reconciliation of accounting records with university reports and prepares recurring financial/budget reports.
- Performs other job-related duties as assigned.
DBA Level 3 Responsibilities
- Manages administrative, financial, budgetary, and human resources operations of a very complex university department.
- Plans and manages human and financial resources to support department objectives.
- Provides financial accountability and ensures compliance with state, university, and external funding agency guidelines.
- Oversees all administrative and financial affairs, including personnel, procurement, travel, accounts payable/receivable, and general accounting.
- May establish work assignments, define job duties, set performance goals, conduct appraisals, counsel employees, and recommend disciplinary actions, promotions, or new hires.
- Establishes or participates in operational and administrative guidelines and inventory controls; enforces safety compliance.
- May advise and assist faculty in administrative planning and provide oversight for sponsored research awards.
- Serves as liaison with Central Payroll, Human Resources, Office of Sponsored Projects, and other department business managers.
- Maintains and manages databases for personnel and payroll records.
- Interprets university policies and procedures for faculty and staff.
- Performs other job-related duties as assigned.
Requirements
- Thorough understanding of both theoretical and practical aspects of an analytical, technical, or professional discipline; or basic knowledge of more than one professional discipline.
- Knowledge obtained through a formal, directly job-related 4-year degree from a college or university or equivalent specialized training.
- DBA Level 2: Minimum of one (1) year of directly job-related experience.
- DBA Level 3: Minimum of three (3) years of directly job-related experience.
- Experience may be considered in lieu of education, and education may be considered in lieu of experience.

- Experience with PeopleSoft Finance and HR.
- Experience with faculty hires.
- Experience in budget planning and financial management.
- Experience with Concur Travel Management.
- Experience managing contracts.
- Highest level of professionalism and respect for confidentiality.
- Ability to interact with all levels of internal and external constituents.
- Experience with staff management.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite.
