About the role

As a Department Administrator, you will support a wide range of administrative and operational activities across the functional area. You will manage confidential records, coordinate logistics, prepare documentation, and ensure smooth day-to-day operations. Your role will be essential in maintaining organizational standards, enhancing productivity, and enabling seamless collaboration across multiple functions.

Responsibilities

  • Provide advanced administrative support by managing a wide variety of tasks within the functional area.
  • Utilize expert computer skills with advanced MS Office knowledge and company-specific databases.
  • Apply broad departmental knowledge to support daily operations and ensure compliance with procedures.
  • Organize and prioritize tasks to meet stringent deadlines and maintain workflow efficiency.
  • Communicate effectively with internal teams, vendors, and customers.
  • Support customer and vendor setups in HICX and Ariba.
  • Create, organize, and digitize documents for shared data across multiple functions.
  • Coordinate gear school and site events and support community outreach initiatives.
  • Manage indirect sourcing and site bills including Oracle and Ariba usage, invoice reconciliation, and goods receipt management.
  • Support environmental tracking activities as needed.
  • Maintain local login and access for city and site systems.
  • Coordinate visitor logistics including meeting rooms, meals, and accommodation.
  • Handle office tasks such as filing, record maintenance, and transaction processing.
  • Prepare reports, presentations, and correspondence as required.
  • Follow organizational procedures to complete tasks accurately and efficiently.
  • Support functional logistics and assist with special projects.
  • Work independently with minimal supervision.

Requirements

  • High School Diploma or equivalent (some college preferred).
  • 7+ years of general business experience.
  • Strong organizational, communication, and analytical skills.
  • Ability to work under stringent deadlines.
  • Commitment to customer service and teamwork.
  • Strong self-motivation and the ability to work independently.
  • Advanced MS Office skills and familiarity with enterprise systems such as Oracle, Ariba, and HICX.
