About the Role
The primary role of the Patient Coordinator is to support front-office operations by maintaining efficient scheduling, coordinating patient appointments, verifying insurance, processing payments, and ensuring accurate patient data for billing and reporting purposes. This position is non-clinical and focuses on delivering a positive patient experience while supporting office workflow and administrative needs.
Responsibilities
- Greet and assist patients professionally to ensure a positive front-office experience
- Check-in patients to ensure they have all necessary information in the patient management software
- Collect co-payments
- Check-out patients
- Run and process applicable reports
- Monitor office emails
- Utilize RevenueWell for confirmations, communication with patients, and insurance requests
- Perform insurance verification and pre-authorizations
- Close out and ensure registers are balanced daily
- Complete next-day router preparation
- Multi-task and manage priorities under pressure (e.g., patients walking in, phones ringing)
- Schedule patients and fill same-day or next-day schedule as needed
- Monitor and respond to office voicemails
- Support Office Manager with end-of-day (EOD) process
- Escalate issues to Office Manager
- Perform other duties and responsibilities as assigned
Requirements
- Ability to reliably arrive on time to support office opening and scheduled business hours
- Flexibility to adjust schedule occasionally based on business needs, in accordance with company timekeeping and wage policies
- Subject to background screening consistent with applicable law and job-related business needs
- High school diploma or equivalent
- Customer service experience
- Ability to work in a fast-paced environment and manage competing priorities
- Ability to balance registers accurately
- Strong communication skills
- Ethical conduct and confidentiality
- High attention to detail and accuracy
- Strong computer and organization skills
- Clear and professional communication with patients and team members in person and by phone
- Ability to demonstrate independent thinking as well as a teamwork-oriented approach
- Dental or medical front desk experience preferred
