About the role
The Dental Clinic Receptionist will understand and model the mission of NSO; will understand and practice NSO’s policy on confidentiality in respect to all NSO information; will exhibit professional behavior in all facets of work at NSO; and will exhibit teamwork with all NSO staff.
Responsibilities
- Greet persons entering establishment and determine nature and purpose of visit
- Operate multiple telephone lines, screen and forward calls as well as provide information and take detailed messages
- Schedule patient’s appointments on the telephone, text, email and in person
- Absorb and update patient information
- Enter all relevant patient information into data system
- Maintain and manage patient records in compliance with privacy and security regulations
- Respond and comply to requests for information
- Check daily appointment schedule and ensure appointments are scheduled to goal
- Fill in cancellations and no-shows
- Organize referrals to other medical specialists
- Scan appropriate documents such as medication lists and medical consultations into patient charts
- Dispatch lab work appropriately
- Collect and receipt payments from patients at time of treatment
- Inform patients of financial policies according to clinic protocol
- Maintain a professional reception area
- Safeguard patient privacy and confidentiality
- Serve as a chairside dental assistant as needed
- Assisting the dentist during a variety of treatment procedures
- Taking digital x-rays with the use of snap-a-ray sensor holders
- Review patient medical history
- Take blood pressure and pulse
- Maintain proper infection control protocol
- Preparing and sterilizing instruments and dental equipment
- Ensure patients feel comfortable before, during and after dental treatment
- Ensure patient received written instructions for care following dental surgery or other dental treatment procedures
- Apply topical drugs prescribed by a dentist
- Take impressions of patients’ teeth for study casts
- Other assigned duties
Requirements
- Must possess a valid dental assisting permit from the Oklahoma Board of Dentistry
- Must have X-ray certification
- Must possess a valid Healthcare Provider CPR certification
- Bilingual - Required
- Experience working with the homeless and underserved population preferred
- Clearance of background check, credit check and drug screen
Skills and Abilities
- Must be dependable, have strong communication skills, be well organized, have the ability to prioritize and be able to work under pressure
- Must maintain a high degree of confidentiality
- Must be a team player
- Must maintain good relationships with dentists, hygienists, office manager and other health care employees
- Must be detail oriented and have proven track record for accuracy
- Maintain HIPPA and OSHA compliance
- Requires knowledge of administrative and clerical procedures. This includes intermediate computer skills; such as word processing, database management, electronic mail, spreadsheet, graphics, etc.
- Knowledge of Eaglesoft software and digital x-ray is preferred
- Knowledge of RevenueWell’s patient communication software
- Thorough knowledge of dental office and chair-side dental assisting practices, procedures and techniques
- Considerable knowledge of dental terminology and charting practices
- Considerable knowledge of the principles and practices of dental health promotion and prevention
- Some knowledge of Federal and OSHA regulations for dental clinics
- Requires ability to work independently as well as with a team
- Ability to effectively communicate in English orally and in writing
- Ability to respect and maintain confidentiality
- Ability to be culturally sensitive to the needs of the medically indigent
- Ability to respond to new client needs
- Ability to work effectively in a dynamic clinic environment and to handle multiple demands and responsibilities
Working Conditions
- The work requires lifting of supply boxes in the medium range (up to 30 lbs.)
- Majority of time spent in this position is in a well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation
- Requires exposure to x-ray equipment
- May risk exposure to biohazards (ex. Blood and disinfectant chemicals) and communicable diseases
- Work is performed sitting much of the time
- Occasional periods of high stress
- Scheduled shift varies, all employees are required to work every other Saturday
