Responsibilities
- Process weekly payroll for hourly warehouse employees, including verification of sick pay, vacations, and holiday pay.
- Correct clocking deviations daily and coordinate the collection of transfer sheets.
- Receive and respond to inquiries from the Payroll and Benefits Departments in a timely manner.
- Provide information to employees regarding processes to request Personal, Federal, and State Leaves.
- Submit paperwork (FMLA/Protected Leave) to the appropriate protected leave clerk.
- Provide administrative support for processing worker’s compensation claims, including system input, updating, and record keeping.
- Refer issues to management.
- Input and maintain records of employee documentation, including discipline and attendance as directed.
- Ensure timely processing of documentation, calculation of final hours worked, and final check requests.
- Process employee requests for employment and payroll information, vacation eligibility/hours, or any other personnel-related information.
- Create and maintain an identification access card system for active employees and authorized outside contractors.
- Maintain employee personnel files and ensure retention requirements are met.
- Maintain daily/weekly/monthly warehouse reports and spreadsheets related to productivity, labor, and inventory accurately and in a timely manner.
- Distribute reports to warehouse management.
- Assist with the online application process for assigned location positions (e.g., post open positions, review applications, forward applications to hiring manager, conduct phone screens, schedule meetings, and track applicant status).
- Daily accountability of ATM utilized by third-party; balance funds, replenish as needed, and send completed reports to sales audit.
- Process and maintain vacation eligibility calendar for employees, including coordination of annual sign-ups, processing of new requests, and cancellations.
- Communicate concerns to management.
- Provide administrative clerical support for all departments, such as facility maintenance and IT.
- Process work boot reimbursements and maintain records.
Requirements
- Applying working knowledge of workers compensation and employment law to workplace situations.
- Demonstrating strong analytical and problem-solving skills with attention to detail to effectively monitor progress and complete assignments.
- Demonstrating initiative, self-direction, and excellent time management skills.
- Prioritizing and performing a variety of simultaneous tasks (multi-tasking).
- Working in a team-oriented, collaborative environment and developing strong rapport with others.
- Utilizing strong proficiency with numerical data and calculations.
- Communicating (hearing and speech) with individuals and performing interpersonal and customer relation skills in an alert and responsive manner.
- Fielding and prioritizing different tasks, phone calls, and projects.
- Applying knowledge of general office practices and procedures and excellent organizational skills.
- Demonstrating working knowledge of Microsoft Office (Excel, Word, Outlook, etc.) software.
- Ability to accept direction from multiple sources and effectively manage time to ensure deadlines are met.
- Understanding and accurately applying collective bargaining agreements and union contracts.
- Proficient at basic math functions.
- Maintaining a high degree of confidentiality with sensitive information.
- Establishing and maintaining good rapport with co-workers, supervisors, vendors, customers, and others.
- Developing and maintaining cooperative working relationships with fellow employees and outside contacts.
- Professionally addressing difficult, sometimes angry individuals.
- Performing tasks requiring manual dexterity (e.g., processing paperwork, filing, stapling, collating, operating a keyboard at 40 wpm, 10-key by touch, operating a computer printer, faxing, etc.).
- Performing all tasks with integrity and dependability.
- Visually reading reports, computer screens, etc.
- Frequent sitting with intermittent walking and standing.
- Willingness to work weekends and evenings when needed.
- Must be at least 18 years old.
Preferred Qualifications
- Two (2) years in a position with responsibility for personnel-related activities (or other applicable field).
