Position

The position is responsible for entering data and generating reports for the database program. Duties include collecting and centralizing specified data information, preparing correspondence, maintaining inventory, and performing general clerical duties.

About the Role

Inspire Development Centers provides Early Childhood Education and social services to over 4000 children across 25 Child Development Centers. Services are provided under various federal and state-funded programs with differing regulations and stipulations, including RHS, MSHS, ECEAP, and EHS. The agency meets an annual non-federal share quota and a majority of children speak Spanish.

Supervisory and Other Relationships

Data Entry Clerk reports to the Center Manager and works closely with Center Staff, Parents, and children. Duties include answering phones, assisting with clerical tasks, and supporting classrooms.

Essential Duties and Accountabilities

  • Collect, enter/input, and dispose of client and center information in the Database.
  • Generate data information reports to appropriate personnel, as requested.
  • Maintain a functional filing system for project-related activities, referrals, contracts, reports, family records, and in-kind documentation.
  • Aid in answering telephones and taking messages.
  • Assist center personnel in all areas of clerical support as necessary.
  • Assist in performing general office tasks and assist in classrooms as needed, such as USDA, timesheets, and taking meeting minutes.
  • Show interest in professional growth by attending staff meetings, workshops, seminars, and additional training.
  • Maintain confidentiality of program and client-related information at all times.

Minimum Qualifications

  • High School Diploma or GED certificate.
  • English/Spanish bi-lingual fluency.
  • Excellent communication and interpersonal skills.
  • Excellent problem-solving and decision-making skills.
  • Understanding of the interrelationships between services and systems.
  • Ability to learn new tasks quickly and efficiently.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Ability to gather data for reports.
  • Strong customer service focus.
  • Ability to work with culturally diverse populations.
  • Proficiency with personal computer, including Microsoft Office.
  • Accurate data entry and recordkeeping skills.

Preferred Qualifications

  • Ability to maintain effective working relationships with fellow employees, program recipients, school district personnel, and the general public.
  • Type 40-50 words per minute.
  • Ability to perform administrative responsibilities.
  • Position Requirements

    • Must be at least 18 years of age.
    • Valid Washington State driver’s license.
    • Pass initial and periodic criminal and background check.
    • Pass initial and periodic Department of Early Learning (DEL) background check.
    • Pass initial and periodic employee health clearance within 45 days of employment.
    • Current Food Handler card, obtained within 30 days of employment.
    • Current First Aid/CPR cards, obtained within 30 days of employment.
    • Subject to initial and periodic TB screen.
    • Human Immunodeficiency Virus (HIV/AIDS) training, obtained within 30 days of employment.
    • Blood Borne Pathogen training, obtained within 30 days of employment.
    • Subject to random drug screen.
    • Sign a Confidentiality Agreement.
    • Sign a Conflict of Interest Disclosure Statement annually.

    Work Environment & Physical Demands

    • Sit, stand, walk, stoop, catch, occasionally.
    • Communicate in person, or via telephone or video conference, frequently.
    • Lift and/or move up to 40 pounds, occasionally.
    • Restraining child, occasionally.
    • Push/pull, kneel, bend, taste or smell, occasionally.
    • Travel, locally and statewide, occasionally.
    • Write and keyboard, frequently.
    • Read, frequently.
    • Use hands to finger, handle, feel or move objects, tools or controls, reach with hands and arms, frequently.
    • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus, frequently.
    • Frequent exposure to moderate temperatures generally encountered in a controlled environment.
