Data & Compliance Coordinator
About the role
Interfaith Community Services is North County's largest social services agency, dedicated to "helping people help themselves" since 1979. The organization empowers hungry, homeless, and low-income community members through programs that provide basic needs, nutrition support, social services, shelters, housing, employment development, senior services, veterans programs, and addiction recovery support. Each year, Interfaith impacts over 20,000 community members in partnership with 250+ diverse faith communities, 1,700+ recurrent volunteers, and a staff of over 275. This role supports organizational compliance and continuous quality improvement by coordinating data and compliance activities.
Responsibilities
- Data Quality & Database Support
- Conduct routine data quality reviews across databases such as HMIS/Clarity and ETO.
- Identify missing, inaccurate, or inconsistent client record data and communicate findings to program teams.
- Support data cleanup activities to ensure program information is accurate, complete, and aligned with funder requirements.
- Run standard data queries and compile basic reports for leadership and compliance needs.
- Provide one-on-one support to staff regarding database navigation and proper data entry practices.
- Create reference guides, job aids, and instructional materials for data-entry processes.
- Contract Closeout & Reporting Support
- Lead administrative components of contract closeout procedures.
- Track reporting deadlines, gather required documentation, and assist with data validation for closeout packets.
- Organize and archive all necessary records to support compliance and audit readiness.
- Quality Assurance & Compliance Support
- Assist with internal quality reviews and checklist-based monitoring activities.
- Support accreditation documentation needs (e.g., CARF).
- Help assemble materials for internal and external audits.
- Assist in updating and maintaining policies, procedures, and QA documentation.
- Administrative Support
- Coordinate internal and external records requests; maintain accurate tracking logs.
- Organize compliance records, files, and departmental documentation systems.
- Schedule meetings, prepare handouts, assemble reports, and provide general administrative support.
- Assist in maintaining documentation for regulatory and contractual requirements.
- Perform additional duties as assigned.
Requirements
- High School Diploma (required).
- Associate’s degree in Business, Human Services, Public Administration, Data Analytics, or a related field (preferred).
- One (1) or more years of data entry experience and additional experience in administrative support, compliance, recordkeeping, or social services (preferred).
- Experience with HMIS/Clarity, Credible EHR, ETO, or similar database systems (preferred).
- An equivalent combination of education, training, and experience that demonstrates the ability to perform the essential functions of the position may be considered.
- Basic understanding of homeless services, social services, or affordable housing programs.
- Awareness of HIPAA, confidentiality, and nondiscrimination requirements with willingness to learn more.

- Strong attention to detail and accuracy in data review and entry.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills, including document management and record keeping.
- Solid written and verbal communication skills.
- Ability to follow structured processes consistently and accurately.
- Analytical thinking when reviewing data or documentation.
- Ability to work independently and prioritize multiple tasks.
- Ability to support staff with basic database navigation and data-entry questions.

Working Conditions

- Work in a climate-controlled office setting.
- Sit for long periods; stand, walk, bend, kneel, and use hands, arms, and legs for dexterity and balance frequently.
- Occasionally lift, carry, and balance objects weighing up to 30 pounds.
- Pull and push objects such as file drawers, computers, and office equipment.
- Prioritize and multi-task work requiring good memory, concentration, and analytical thinking.
- Occasionally operate a vehicle, office equipment, and machines safely; recognize and abate workplace safety hazards.
- Hear, see (including color distinction), read, and communicate verbally and in writing frequently with a diverse range of people.
The noise level in the work environment is usually low.

Monday-Friday: 8:00 am-5:00 pm

Pay
Hourly Rate: $25.00
