About the Role

The DC Project Assistant supports management by maintaining records, filing, overseeing budgets, and billing for data center projects. This position requires regular communication with a direct supervisor to ensure accurate and timely execution of these functions.

Responsibilities

  • Assist Project Manager and supervisors with coordinating project jobs, schedules, and work milestones
  • Handle all tracking of work orders from job creation to billing
  • Consolidate redlined maps into billable format
  • Maintain inventory tracking software and manage deliveries
  • Perform data entry and scheduling
  • Provide excellent customer service both internally and to customers and vendors
  • Troubleshoot and research discrepancies with work orders and inventory
  • Coordinate travel for jobsite personnel
  • Facilitate relationship and paperwork between internal teams and subcontractors
  • Prepare and submit work change orders
  • Coordinate external and internal correspondence
  • Complete safety training as required by position
  • Handle paperwork filing and maintenance as needed
  • Perform other duties as assigned

Requirements

  • High School education or GED
  • Proficient with Microsoft Office applications, including high proficiency with Microsoft Excel
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages
  • Ability to work and communicate effectively with employees and customers
  • Ability to multi-task and handle a variety of tasks while maintaining strong attention to detail
  • Excellent time management skills and the ability to meet deadlines with accuracy

Preferred Qualifications

  • Associate or Bachelor’s Degree
  • Prior Administrative experience
