About the Role
The Child and Youth Program (CYP) Operations Clerk serves as a contact point for information and performs clerical and administrative tasks in support of the CYP, which includes Child Development Centers (CDCs), Child Development Homes (CDH), School Age Care (SAC) programs, Youth Programs (YP), Resource and Referral (R&R) Program, and the US Department of Agriculture (USDA) Food Program.
Responsibilities
- Performs administrative duties for Child and Youth Programs (CYP), focusing on preparing and maintaining reports and financial data.
- Manages child registration, enrollment, and USDA food program records to ensure they are complete, accurate, and current.
- Serves as a primary point of contact, providing front desk coverage, logging children in and out, and answering questions from patrons about programs, policies, and financial obligations.
- Processes background check paperwork and maintains office files.
- Resolves record discrepancies and provides required information to various agencies.
- Collects fees and charges, records payments, and notifies supervisor of delinquent payments.
- Completes daily activity reports and ensures proper deposit of funds in accordance with established cash handling procedures.
- Monitors supplies and resources, notifying supervisor of items that need to be ordered.
- Serves as a mandatory reporter to Family Advocacy and Child Protective Services in cases of suspected child abuse and neglect.
- Performs other duties as assigned.
Requirements
- Must be 18 years of age or older and have a high school diploma or equivalent.
- Complete required training certificates and maintain certifications or credentials required by Federal, State, and/or national accreditation institutions used as part of DoD's Child and Youth Programs.
- Undergo pre-employment and random drug testing. A positive drug test or failure to submit for testing is a basis for removal from this position.
- Pass a pre-employment physical, provide evidence of immunization, be free of all communicable diseases, and obtain appropriate immunization against communicable diseases.
- Employment contingent upon proof of education if not provided at time of application.
- Must successfully pass the E-Verify employment verification check. Any discrepancies must be resolved as a condition of employment.
- Must meet federal suitability requirements, including successful completion of background investigation.
Qualifications
- Knowledge of administrative support functions and general office automation software, practices, and procedures.
- Knowledge of military CDC, CDH, SAC, YP, R&R, and the USDA Food Programs.
- Ability to maintain a computerized database and working knowledge of computer keyboard and Child and Youth Management System (CYMS) or equivalent database system.
- Ability to maintain accurate reports and records, including military-style documents.
- Ability to communicate effectively in English, both verbally and in writing.
- Skill in cash handling required.
- High School Diploma or equivalent and 2 years of administrative experience.
Work Environment
- Work is primarily sedentary and conducted in an office setting.
- The work environment involves everyday risks or discomforts such as exposure to disease, requiring normal safety precautions typical of childcare settings.
- Normal fire and safety precautions must be adhered to.
- May be required to work an uncommon tour of duty, including evenings or weekends.
