The administrative assistant will provide general administrative support, including scheduling and coordinating meetings, managing conference calls, and handling departmental contracts. They will also assist with onboarding activities, business travel coordination, expense reporting, and maintaining departmental files.

Responsibilities

  • Proactively schedule and coordinate meetings and conference calls
  • Manage meeting logistics such as availability, room setup, catering, and materials
  • Resolve timing conflicts to ensure appropriate attendance
  • Work with HR to coordinate interviews and onboarding activities
  • Arrange details for offsite meetings, including booking hotels, making restaurant reservations, and coordinating team-building events
  • Prepare expense reports and assist with business travel planning
  • Order and maintain department office supplies
  • Coordinate with IT to resolve computer and technical issues
  • Attend and participate in BPV and CMW meetings
  • Support leadership team and department calendars
  • Create/Update department project trackers/spreadsheets
  • Maintain filing system for key documents in LiveLink
  • Assist in the preparation and distribution of documents and presentations

Requirements

  • Minimum of two years related experience
  • Expertise in Outlook and standard office software applications (Outlook, Microsoft Office)
  • Responsive to deadlines, detail-oriented, and able to prioritize tasks
  • Excellent communication and interpersonal skills
  • Quick learner and able to work independently on most tasks

Skills

  • Effective task planning and coordination abilities
  • Previous experience supporting Pharmacovigilance and Clinical Medical Writing within the Biotech or Pharmaceutical Industry is a plus
