Customer Service Specialist
About the role
MCA is seeking an experienced Customer Service Specialist in Monroe, Louisiana to support our fast-growing Voice (MSS) division. The Customer Service Specialist serves as a key member of the Customer Operations team, providing exceptional customer service and operational support to ensure efficient branch operations and a positive customer experience.
This position supports multiple operational functions, including customer communications, order processing, scheduling, purchasing, billing support, inventory coordination, shipping and receiving, and general administrative activities. The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment while maintaining professionalism and accuracy.
Responsibilities
- Customer Service
- Serve as the first point of contact for customers, vendors, and visitors.
- Answer and direct incoming calls using a multi-line telephone system.
- Respond to customer inquiries professionally and resolve issues in a timely manner.
- Build and maintain positive relationships with customers and vendors.
- Deliver exceptional customer service while representing MCA's Service First culture.
- Customer Operations
Provide operational support in one or more of the following functional areas based on business needs:
- Order Acceptance
- Order Management
- Scheduling and Dispatch
- Purchasing
- Shipping and Receiving
- Inventory Management
- Billing and Invoicing
- Accounts Receivable support and Collections
- Service Administration
- Customer communications and documentation
- Administrative Support
- Maintain accurate customer records and operational documentation.
- Process transactions and documentation within company systems.
- Prepare reports, correspondence, and operational documents as required.
- Maintain organized electronic and physical filing systems.
- Ensure operational records are complete and accurate.
- Team Support
- Collaborate with Sales, Service, Warehouse, Purchasing, Finance, and other departments.
- Cross-train in multiple operational functions to provide branch coverage.
- Assist with onboarding and training of new team members as assigned.
- Support operational initiatives, process improvements, acquisitions, and special projects.
Requirements
- Three to seven years of experience in customer service, office administration, or customer operations.
- Proficient in Microsoft Office applications, including Outlook, Word, and Excel.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Ability to prioritize multiple assignments in a fast-paced environment.
- High attention to detail and accuracy.
- Ability to maintain confidential and proprietary information.
- Demonstrated professionalism and customer service skills.
Preferred Qualifications
- Experience supporting one or more of the following: Scheduling/Dispatch, Purchasing, Shipping & Receiving, Inventory Control, Billing/Invoicing, Accounts Receivable/Collections.

Work Environment
The physical environment requires the employee to work inside. Duties include frequent standing, walking, sitting, using hands to handle objects/tools, reaching with hands and arms, climbing stairs, talking, hearing, and lifting (overhead, waist level, or from the floor). The role also involves bending, frequent near-vision use for reading and computer tasks, occasionally moving equipment up to 20 pounds, and positioning oneself to maintain computers or other equipment.
Travel may be required to support company and customer needs.
