About the role
We are seeking a friendly, organized, and customer-focused Customer Service Representative to join our insurance agency. This position serves as the first point of contact for clients, providing exceptional in-person, phone, and email support while assisting with policy servicing, administrative tasks, and day-to-day office operations. Responsibilities
- Greet clients and visitors in a professional, welcoming manner.
- Answer incoming phone calls, emails, and office inquiries promptly and courteously.
- Assist clients with policy questions, billing inquiries, payments, and general insurance service requests.
- Process policy changes, endorsements, renewals, certificates of insurance, and other servicing requests accurately.
- Collect and verify client information to ensure policies remain current and accurate.
- Communicate professionally with insurance carriers to obtain information, process requests, and resolve client issues.
- Assist clients with claims reporting and provide updates throughout the claims process when needed.
- Schedule appointments and maintain calendars for agency staff.
- Perform general administrative duties, including scanning, filing, data entry, and maintaining client records.
- Support agency marketing efforts, community events, and customer outreach initiatives as assigned.
- Identify opportunities to introduce additional insurance products and refer clients to licensed agents for quotes and coverage reviews.
- Maintain confidentiality while following agency policies and quality standards.
- Stay informed about insurance products, agency procedures, and industry updates.
- Participate in training and continuing education as provided by the agency.
- Assist with special projects and other duties assigned by management.
- Maintain a professional appearance and contribute to a positive team environment.
- Pursue ongoing personal and professional development.
Requirements
- High school diploma or equivalent required.
- Previous customer service, receptionist, administrative, or insurance office experience preferred.
- Proficiency with Microsoft Office (Outlook, Word, Excel, and Teams).
- Strong communication and interpersonal skills.
- Excellent organizational skills with strong attention to detail.
- Ability to prioritize tasks and manage multiple responsibilities in a fast-paced office.
- Professional, dependable, and customer-focused attitude.
- Ability to work independently and collaboratively as part of a team.
- Strong problem-solving skills and a commitment to providing exceptional customer service.
